Calendar invite not sending or receiving
Summary
This guide helps you troubleshoot and resolve: Calendar invite not sending or receiving. Follow the steps below to fix the issue.
Common Causes
Calendar invitations rely on a connection between your email service and your calendar application. When an invite fails to send or receive, it is usually caused by email routing issues, spam filtering, or incorrect calendar account settings. This guide will help you identify and resolve the most common causes so your meeting requests arrive reliably.
Quick Fix Steps
- Check your Junk Email or Spam folder for the missing invitation.
- Ask the sender to resend the invite from their calendar application.
- Restart your email or calendar application to force a sync.
- Verify that you are connected to the internet and that your account is online, not offline.
Detailed Instructions
Check Spam and Junk Email Settings
Calendar invites are often flagged as junk because they contain automated meeting requests.
- Open your email application and navigate to the Junk Email or Spam folder.
- Look for messages with the subject line containing "Invitation" or "Meeting Request."
- Right-click the message and select Not Junk or Not Spam.
- In Outlook, select Never Block Sender to prevent future invites from that address being filtered.
- In Gmail, open the message and select Report not spam from the menu.
Tip: Ask regular meeting organisers to add your email address to their contacts. This reduces the likelihood of their invites being marked as spam.
Verify Calendar Account Configuration
If your calendar account is not configured correctly, invites may fail to sync to your inbox or calendar.
- Open your calendar application settings.
- Confirm that your email account is listed and connected under Accounts or Internet Accounts.
- Ensure the calendar toggle is enabled for the account.
- Remove and re-add the account if the status shows an error or authentication failure.
- Restart the application and check for new invitations.
Check Calendar Sharing and Permissions
If you are not receiving invites to shared calendars, the organiser may need to adjust permissions.
- Ask the calendar owner to open their calendar sharing settings.
- Verify that your email address has been added with Editor or Contributor permissions.
- Ensure the option to send email notifications for changes is enabled.
- Accept any pending sharing invitations sent to your email inbox.
Troubleshooting
Invites Not Sending
If your outgoing calendar invites are not reaching attendees, try the following:
- Confirm you have an active internet connection before sending the invite.
- Check your Sent Items folder to see if the invite was sent but not delivered.
- Verify the attendee email addresses are correct and free of typos.
- Ensure your mailbox is not over its storage quota, which can block outgoing messages.
- Try sending a test invite to a different email address to isolate the issue.
Invites Not Receiving
If you are not receiving invites from others:
- Check your Deleted Items and Junk Email folders.
- Confirm your email address is correct in the organiser's contact list.
- Ask the organiser to resend the invite directly to your email address.
- Refresh your calendar application by selecting Send/Receive or refreshing the page.
- Check if any inbox rules are moving calendar items to another folder.
Caution: Avoid deleting and recreating calendar accounts without first backing up local calendar entries, as this may remove unsynced appointments.
