Common Causes

Adding a new user account to your Windows 10 or Windows 11 computer is a straightforward way to manage access for multiple people sharing a single device. Separate accounts ensure that each person has their own desktop settings, documents, and browser history, which helps maintain privacy and security in both home office and small business environments.

Quick Fix Steps

  1. Open the Start menu and select Settings.
  2. Navigate to Accounts > Family & other users (Windows 10) or Other users (Windows 11).
  3. Click Add account or Add someone else to this PC.
  4. Follow the prompts to create a Microsoft account or a local account.

Detailed Instructions

Windows 10

  1. Click the Start button and select the Settings gear icon.
  2. Select Accounts from the left-hand menu.
  3. Click Family & other users in the sidebar.
  4. Under the Other users section, click Add someone else to this PC.
  5. If you have the person's email address, enter it to create a Microsoft account. To create a local account instead, select I don't have this person's sign-in information, then click Add a user without a Microsoft account.
  6. Enter the username, password, and password hint, then click Next.

Windows 11

  1. Click the Start button and select Settings, or press Windows key + I.
  2. Select Accounts from the left sidebar.
  3. Click on Other users.
  4. Next to Add other user, click the Add account button.
  5. Enter the email address for a Microsoft account. For a local account, click I don't have this person's sign-in information and then select Add a user without a Microsoft account.
  6. Provide a name, password, and security questions, then click Next.
Tip: Local accounts are stored only on that specific computer and do not sync settings across other devices. Microsoft accounts allow for synchronisation of settings and access to OneDrive.

Managing Account Types

By default, new accounts are created as Standard users. If the new user needs to install software or change system settings, you must change their account type to Administrator.

  1. Go to Settings > Accounts > Family & other users (Windows 10) or Other users (Windows 11).
  2. Select the account you wish to modify and click Change account type.
  3. Change Account type from Standard User to Administrator.
  4. Click OK to save the changes.
Caution: Be careful when assigning Administrator privileges. Users with Administrator access can make significant changes to the system, install or remove software, and access all files on the computer.

Troubleshooting

Cannot find the "Add account" option

Ensure you are logged in as an Administrator. Only Administrator accounts can create new user profiles on the device.

Forgotten local account password

If a local user forgets their password and no password reset disk was created, an Administrator must reset the password via the Settings menu under Accounts > Family & other users.
