Common Causes

Microsoft 365 subscriptions are essential for keeping your business email, files, and collaboration tools running. If your subscription lapses or licences expire, you may lose access to Outlook, Teams, Word, and OneDrive. This guide shows you how to check your renewal dates and verify licence status so you can avoid unexpected service interruptions.

Quick Fix Steps

  1. Sign in to the Microsoft 365 admin centre at admin.microsoft.com.
  2. Navigate to Billing > Your products.
  3. Review the Subscription status and Next billing date columns.
  4. Select a product to view assigned licences and expiry details.

Detailed Instructions

Step 1: Sign in to the Microsoft 365 admin centre

Open your web browser and go to https://admin.microsoft.com. Sign in using an account with Global Administrator or Billing Administrator permissions. If you do not have admin access, ask your IT administrator or contact your IT support provider.

Step 2: Open the Billing section

In the left-hand navigation menu, select Billing, then choose Your products. This page lists all active Microsoft 365 subscriptions attached to your organisation.

Step 3: Check renewal and expiry dates

On the Your products page, look for the following columns:

Select a product name to open its details page. Here you can see the total number of licences, how many are assigned, and the commitment end date for annual subscriptions.

Step 4: Review individual user licences

To check which users have active licences:

  1. Go to Users > Active users.
  2. Select a user to open their profile.
  3. Click the Licences and apps tab.
  4. Confirm the required Microsoft 365 apps are toggled on and the licence is assigned.

Troubleshooting

Subscription shows as Expired

If your subscription status is Expired, Microsoft typically provides a grace period before data is deleted. Select Reactivate on the product details page to restore service immediately. If the reactivate option is not available, contact your IT support provider for assistance.

Cannot access the admin centre

Ensure you are signing in with a work or school account, not a personal Microsoft account. If you receive a permissions error, your account may not have billing rights. Ask another administrator in your organisation to check the dates for you.

Licence count is lower than user count

If you have more users than available licences, some staff may lose access to Office apps. Purchase additional licences from the Billing > Purchase services page, or reassign unused licences from inactive users.

Tip: Set a calendar reminder two weeks before your Next billing date to review licences and confirm your payment method is up to date.
Caution: Do not ignore expiry notifications from Microsoft. An expired subscription can prevent users from sending or receiving email and accessing files stored in OneDrive and SharePoint.
