Common Causes

When your Microsoft 365 calendar events are missing on your iPhone, iPad, or Android device, the cause is usually a sync issue between Outlook and your device's native calendar app. This guide walks you through the most common causes and the steps to restore proper calendar visibility so you never miss a meeting while you're on the go.

Quick Fix Steps

If you're in a hurry, work through these checks first. Most calendar sync problems are resolved within a few minutes using the steps below.

  1. Confirm your device has a stable internet connection (Wi-Fi or mobile data).
  2. Open the Outlook mobile app and verify the events appear there. If they do, the issue is with your device's native calendar connection.
  3. Ensure the Outlook app has permission to access your calendar in your device settings.
  4. Force a manual sync by opening Outlook, tapping your profile icon, and selecting Sync.
  5. Restart your device if the events still do not appear.

Detailed Instructions

Check Your Outlook Mobile App Settings

If your events show in Outlook but not in your phone's built-in calendar app, the Outlook app may not be sharing its calendar with your device.

  1. Open the Outlook app on your device.
  2. Tap your profile icon in the top-left corner.
  3. Tap the settings cog in the top-left, then select your email account.
  4. Tap Calendar.
  5. Ensure Sync Calendar is toggled on.
  6. Return to your inbox, pull down on the message list to force a manual sync.

Verify Native Calendar Permissions on iPhone and iPad

Apple's Calendar app needs permission to display events from Outlook.

  1. Open the Settings app.
  2. Scroll down and tap Calendar.
  3. Tap Accounts.
  4. Confirm your Microsoft 365 account is listed and toggled on.
  5. If your account is missing, tap Add Account, choose Outlook or Exchange, and sign in with your Microsoft 365 credentials.

If the account is already listed but events are missing, toggle it off, wait ten seconds, then toggle it back on to force a fresh sync.

For organisation-managed accounts, choose Exchange rather than Outlook when adding the account manually. Your IT administrator can provide the server details if required.

Verify Native Calendar Permissions on Android

Android devices vary by manufacturer, but the general process is similar.

  1. Open Settings on your device.
  2. Tap Apps (or Applications on some devices).
  3. Find and tap your calendar app, such as Google Calendar or Samsung Calendar.
  4. Tap Permissions and ensure Calendar access is allowed.
  5. Return to Settings, then tap Accounts and Backup followed by Manage Accounts.
  6. Tap your Microsoft 365 account and confirm Sync Calendar is enabled.

Check Outlook for the Web

Before troubleshooting further, confirm the events actually exist in your Microsoft 365 calendar.

  1. Open a browser and go to outlook.office.com/calendar.
  2. Sign in with your Microsoft 365 account.
  3. Check the calendar view to confirm your events are present.
  4. Click View and ensure the correct calendar is selected and ticked in the left-hand panel.

If events are missing here as well, the issue is with your Microsoft 365 account rather than your device. In that case, open a ticket with our support team so we can investigate further.

Troubleshooting

Clear the Outlook Mobile App Cache

A corrupted cache can prevent events from syncing correctly. The Outlook mobile app does not include a built-in clear cache option, so you will need to clear it through your device settings.

On Android:

  1. Open Settings on your device.
  2. Tap Apps and find Microsoft Outlook.
  3. Tap Storage, then tap Clear Cache.
  4. Reopen Outlook and sign back in if required.

On iPhone and iPad:

  1. On iOS, the cache cannot be cleared directly. Instead, uninstall the Outlook app, then reinstall it from the App Store.
  2. Sign back in with your Microsoft 365 credentials and allow the calendar to resync.

Remove and Re-add the Account on Your Device

If clearing the cache does not resolve the issue, removing and re-adding the account often restores sync.

  1. Open Settings on your device.
  2. Navigate to Accounts and select your Microsoft 365 account.
  3. Tap Remove Account and confirm.
  4. Add the account again using the steps outlined above for iPhone, iPad, or Android.
  5. Allow several minutes for the initial sync to complete.
Removing an account may delete locally cached calendar data from your device. Your events remain safely stored in Microsoft 365 and will resync once the account is re-added.

Check for Multiple or Conflicting Calendars

If you have multiple calendars in your Microsoft 365 account, only those with sync enabled will appear on your device.

  1. Open Outlook on the web and click View in the top-right.
  2. Review the list of calendars in the left-hand panel.
  3. Note the names of any calendars that should appear on your device.
  4. In the Outlook mobile app, tap your profile icon, then the settings cog, and select your account.
  5. Tap Calendar and ensure each calendar you need is toggled on.

Verify Date, Time, and Time Zone Settings

Incorrect time zone settings can cause events to appear at the wrong time or be hidden from view.

  1. On your device, open Settings and go to Date and Time.
  2. Enable Set Automatically so your device pulls the correct time zone from the network.
  3. In Outlook on the web, click Settings (the cog icon), then View all Outlook settings.
  4. Go to Calendar and select View.
  5. Confirm the time zone is set correctly for your location in Australia, such as (UTC+10:00) Canberra, Melbourne, Sydney.

Update Your Apps and Operating System

Outdated software can cause compatibility issues with Microsoft 365 sync.

  1. Open the App Store (iPhone/iPad) or Google Play Store (Android).
  2. Search for Microsoft Outlook and tap Update if available.
  3. Check for operating system updates in Settings > General > Software Update on Apple devices, or Settings > Software Update on Android.
  4. Install any pending updates and restart your device.
