Common Causes

If your Excel spreadsheet is displaying the actual formula instead of the calculated result, it usually means Excel is treating the cell as text rather than a mathematical expression. This is a common issue for small business users managing budgets, invoices, or data reports in Microsoft 365. Follow the steps below to resolve the problem.

Quick Fix Steps

  1. Check if the cell is formatted as Text and change it to General.
  2. Ensure the formula begins with an equals sign (=).
  3. Turn off "Show Formulas" mode if it is enabled.
  4. Press Enter to re-calculate the cell.

Detailed Instructions

1. Change Cell Format from Text to General

Excel will not calculate a formula if the cell is formatted as Text.

  1. Select the cell or range of cells containing the formula.
  2. Go to the Home tab on the ribbon.
  3. In the Number group, click the dropdown menu that currently says Text.
  4. Select General from the list.
  5. Double-click the cell or press F2, then press Enter to force Excel to re-evaluate the formula.

2. Verify the Formula Starts with an Equals Sign

Excel only recognises a string as a formula if it begins with =. If you typed SUM(A1:A10) without the equals sign, Excel will treat it as plain text.

  1. Click the cell displaying the formula.
  2. Check the formula bar at the top of the window.
  3. If the entry does not start with =, click in the formula bar and add it to the beginning.
  4. Press Enter.

3. Disable "Show Formulas" Mode

If every formula in your worksheet is visible instead of the results, you may have "Show Formulas" enabled.

  1. Go to the Formulas tab on the ribbon.
  2. In the Formula Auditing group, look for the Show Formulas button.
  3. If the button is highlighted or active, click it to turn it off.
  4. Alternatively, press the keyboard shortcut Ctrl + ` (the backtick key, usually located below the Esc key) to toggle this mode.

Troubleshooting

Formula Still Not Calculating?

Tip: If you are copying data from a website or another program, Excel may paste numbers as text. Use the Data > Text to Columns wizard and click Finish to quickly convert a column of text-stored numbers back to values.
Caution: Changing a cell from Text to General will not automatically calculate the formula. You must re-enter the cell (press F2 then Enter) after changing the format for the result to appear.
