- Check that at least one staff member is assigned to the service and marked as available.
- Verify that the service has bookable time slots configured (not just buffer time).
- Ensure the staff member's Microsoft 365 calendar does not have all-day events or out-of-office blocks covering the booking window.
- Confirm the customer is not attempting to book outside the lead time or maximum advance booking window.
Detailed Instructions
1. Check the Bookings calendar is published
If your booking page shows Service not available, the calendar may have been unpublished or the link may be incorrect.
- Sign in to book.ms with your Microsoft 365 work account.
- Select the relevant booking calendar from the dashboard.
- In the left-hand menu, click Booking page.
- Under Publishing status, confirm the toggle is set to Published.
- Copy the Booking page link and test it in a private browsing window. If the link works there but not for your client, the issue may be on their side (cached page or network restrictions).
2. Verify staff are assigned and available
A service with no assigned staff will appear unavailable to clients. Even with staff assigned, their personal availability settings can block bookings.
- In the Bookings dashboard, click Services in the left menu.
- Select the service that is not working.
- Scroll to the Staff section and confirm at least one staff member is ticked.
- Click Staff in the left menu, then select each staff member assigned to the service.
- Check the Availability tab. Ensure the staff member has working hours set for the days you expect bookings.
- Look at the Time off section. Remove any time-off entries that overlap with the booking window you are testing.
3. Confirm the service has bookable time slots
A common misconfiguration is setting buffer time or duration incorrectly, leaving no actual bookable slots.
- Go to Services and select the problematic service.
- Check the Duration field. It must be greater than zero minutes.
- Check Buffer time. If buffer time plus duration exceeds the staff member's working hours, no slots will be offered.
- Review Lead time (minimum hours before a booking can be made). If set too high, clients cannot book same-day or next-day appointments.
- Review Maximum advance booking. If set too low, clients cannot book far in the future.
4. Check for conflicting Outlook calendar events
Bookings respects each staff member's Outlook calendar. All-day events, recurring meetings, or out-of-office replies can block availability.
- Open the staff member's Outlook calendar.
- Look for any all-day events, recurring appointments, or out-of-office blocks that overlap with the intended booking time.
- If you find a conflicting event, either move it, delete it, or mark it as Free instead of Busy.
- Return to the Bookings page and refresh to see if slots now appear.
5. Review the booking page settings
Some booking page options can inadvertently block clients.
- Go to Booking page in the left menu.
- Under Booking policy, check Minimum lead time and Maximum lead time. If these are too restrictive, clients will see no available times.
- Check Time zone. If the time zone is incorrect, the displayed times may not match the client's expectations.
- Under Customer information, ensure you have not required a field that clients cannot complete (for example, a custom field with no options).
Troubleshooting
Licensing checks
Microsoft Bookings requires a qualifying Microsoft 365 licence. If the app is not enabled for a user, they will see Service not available or be unable to access the Bookings dashboard.
- Sign in to the Microsoft 365 admin centre.
- Go to Users > Active users and select the affected user.
- Click the Licences and apps tab.
- Scroll to Apps and confirm Microsoft Bookings is ticked.
- If it is not ticked, enable it and click Save changes.
Organisation-level Bookings settings
Your Microsoft 365 administrator may have disabled Bookings at the tenant level.
- Sign in to the Microsoft 365 admin centre as a global administrator.
- Go to Settings > Org settings.
