How to fix Microsoft Outlook calendar invitations being automatically deleted or moved to Junk
Summary
This guide helps you troubleshoot and resolve: How to fix Microsoft Outlook calendar invitations being automatically deleted or moved to Junk. Follow the steps below to fix the issue.
Common Causes
It can be frustrating when important meeting requests vanish from your inbox before you have a chance to respond. This typically occurs because of automated Outlook settings that move invitations to the calendar automatically, or overly aggressive junk email filters and inbox rules.
Quick Fix Steps
Before diving into advanced settings, please check the following common culprits:
- Check your Junk Email folder to see if the invitations are being filtered.
- Check your Deleted Items folder to ensure a rule isn't accidentally purging them.
- Check your Calendar directly; Outlook may have already added the appointment as 'Tentative', removing the email from your inbox.
Detailed Instructions
1. Disable Automatic Processing of Meeting Requests
By default, some versions of Outlook are configured to automatically process meeting requests and move the email to the Deleted Items folder once the appointment is placed on your calendar.
- Open Outlook and go to the File tab.
- Select Options from the left-hand menu.
- Click on Mail in the sidebar.
- Scroll down to the Tracking section.
- Uncheck the box that says Automatically process meeting requests and responses to meeting requests.
- Click OK to save your changes.
2. Reviewing Inbox Rules
A misconfigured rule may be moving emails containing keywords like "Invitation" or "Meeting" to a specific folder or the bin.
- Navigate to the Home tab on the top ribbon.
- Click on Rules > Manage Rules & Alerts.
- Analyse the list of active rules. Look for any rule that mentions
Meeting RequestorCalendar. - If you find a problematic rule, either uncheck it to disable it or select it and click Delete.
- Click Apply and then OK.
3. Adjusting Junk Email Filters
If invitations from specific external organisations are being flagged as spam, you need to add those senders to your Safe Senders list.
- Go to the Home tab.
- Click on Junk > Junk E-mail Options.
- Navigate to the Safe Senders tab.
- Click Add and enter the email address or the domain (e.g.,
@clientcompany.com.au) of the sender. - Ensure the box Automatically switch the Junk email filter off is not checked if you wish to keep general protection active.
- Click OK.
Troubleshooting Advanced Issues
Dealing with Third-Party Antivirus
Some security software installed on your PC may analyse incoming mail and move items to a quarantine folder before Outlook even sees them.
- Check your antivirus software's Quarantine or Spam logs.
- If invitations are being blocked there, add the sender to the software's "Whitelist".
Sync Issues with Mobile Devices
If you use a mobile mail app (such as Apple Mail or Gmail) synced via IMAP or Exchange, the mobile app may be moving the invitation to the calendar and deleting the email via a background process.
- Temporarily remove your account from your mobile device.
- Send a test invitation to yourself from a different account.
- If the email stays in the inbox, the issue is related to your mobile device's synchronisation settings.
