When Outlook sends duplicate emails, the issue usually stems from a message stuck in the Outbox, a misbehaving add-in, or a sync glitch between Outlook and your mail server. Duplicates can confuse recipients, clutter inboxes, and in some cases cause accidental double-sends of important client communications. The good news is that most cases can be resolved without contacting support by working through the steps below in order.

If you need to stop the duplicates immediately, try these steps first:

  1. Open Outlook and click Send/Receive on the ribbon.
  2. Look at the Outbox folder. If you see a copy of the duplicated email sitting there (this only applies if a message is genuinely stuck and has not yet been sent), right-click it and choose Cancel, or simply delete it.
  3. Press F9 to force a send/receive and confirm no further duplicates are sent.
  4. Restart Outlook completely and send a test email to yourself.

If duplicates continue after these steps, work through the detailed troubleshooting below.

Detailed Troubleshooting

1. Clear Stuck Messages from the Outbox

A message that fails to send on the first attempt can retry multiple times, producing duplicates. This is the most common cause.

  1. Switch Outlook to Work Offline by clicking Send/Receive > Work Offline. This prevents Outlook from sending anything while you work.
  2. Open the Outbox folder and review every message.
  3. For any message that looks stuck (a red exclamation mark icon, "Unsent" status, or older than a few minutes), right-click and choose Cancel. If Cancel is greyed out, delete the message instead.
  4. Click Send/Receive > Work Offline again to go back online.
  5. Press F9 to perform a fresh send/receive.
  6. Send a test email to confirm the issue is resolved.
If you are using Outlook on the web (Outlook.microsoft.com) rather than the desktop app, the Outbox behaves slightly differently. Check your Drafts folder for unsent items and your Sent Items for duplicates.

2. Disable Add-ins

Third-party add-ins, particularly CRM integrations, antivirus scanners, and email tracking tools, can interfere with Outlook's send process and trigger duplicate messages.

  1. In Outlook, click File > Options > Add-ins.
  2. At the bottom of the window, next to Manage:, select COM Add-ins and click Go.
  3. Untick any add-ins you do not recognise or no longer need, then click OK.
  4. Restart Outlook and test sending an email.

If duplicates stop, re-enable add-ins one at a time to identify the culprit. Common offenders include mail-merge tools, anti-spam plugins, and older CRM connectors.

3. Check Send/Receive Group Settings

Outlook can be configured to retry sends aggressively if send/receive groups are set up incorrectly, which can occasionally look like duplicates.

  1. Click Send/Receive > Send/Receive Groups > Define Send/Receive Groups.
  2. Select All Accounts and click Edit.
  3. Confirm the Schedule an automatic send/receive every X minutes setting is reasonable (30 minutes is typical). A very short interval can occasionally cause retries that look like duplicates.
  4. Click OK to save.

4. Rebuild the Outlook Profile

If the above steps have not resolved the issue, your Outlook profile may be corrupted. A fresh profile often clears persistent sync glitches.

  1. Close Outlook completely.
  2. Open the Control Panel and search for Mail (Microsoft Outlook).
  3. Click Show Profiles, then click Add to create a new profile.
  4. Follow the prompts to add your email account. For Microsoft 365 accounts, Outlook will auto-configure the server settings.
  5. Set the new profile as the default and click OK.
  6. Open Outlook using the new profile and test sending an email.
A new profile starts with an empty Outlook data file. If you use a POP or IMAP account, your existing local mailbox will remain available under the old profile. 5. Check for Duplicate Rules or Server-Side Sync Issues

For Microsoft 365 and Exchange accounts, server-side rules or mobile device sync can occasionally produce what looks like duplicate sends.

  1. Sign in to Outlook on the web with the same account.
  2. Open Settings (gear icon) > Mail > Rules. Review any rules that forward or move sent items.
  3. Open Sent Items in the web interface and check whether duplicates appear there too. If they do, the issue is server-side rather than a desktop Outlook problem.
  4. Check any connected mobile devices or third-party apps that may also be sending mail from the same account.
