Common Causes

Calendar delegates are trusted colleagues or assistants who manage your schedule on your behalf. When a delegate cannot accept or decline meeting invitations sent to you, it usually means delegate permissions are missing, incorrectly configured, or Outlook is not syncing properly with Microsoft 365 or Exchange.

Quick Fix Steps

  1. Confirm the delegate has been granted Editor permissions on your calendar.
  2. Ask the delegate to open your shared calendar directly, rather than responding from their own inbox.
  3. Restart Outlook to refresh delegate permissions and calendar sync.
  4. Check that you are using a supported Outlook version connected to Microsoft 365 or Exchange.

Detailed Instructions

Grant or Verify Delegate Permissions

  1. Open Microsoft Outlook on your desktop.
  2. Select File from the top menu.
  3. Choose Account Settings, then select Delegate Access from the dropdown.
  4. In the Delegates window, select the delegate’s name and click Permissions.
  5. Ensure Calendar is set to Editor (can read, create, and modify items).
  6. Tick the box Delegate receives copies of meeting-related messages sent to me.
  7. Click OK, then click OK again to close the Delegates window.
Editor permission is required for a delegate to accept or decline meeting invitations on your behalf. Reviewer or Author permissions will not allow them to respond to invites.

Ask the Delegate to Open Your Calendar

  1. Ask the delegate to open their own Outlook profile.
  2. Select File > Open & Export > Other User's Folder.
  3. Enter your name or email address in the Name field.
  4. Set Folder type to Calendar.
  5. Click OK.
  6. Once your calendar opens, the delegate can open meeting invitations sent to you and select Accept, Tentative, or Decline.
Delegates should respond to meeting invitations from your shared calendar view. Responding from a meeting request sitting in their own inbox may not update your calendar correctly.

Refresh Outlook and Calendar Sync

  1. Close Outlook completely.
  2. Reopen Outlook and wait for all folders and calendar items to synchronise.
  3. Ask the delegate to check whether they can now respond to a test meeting invitation.
