When sharing your calendar within an organisation, you may want to hide the specific details of a personal appointment—such as a medical visit or a private meeting—while still ensuring your colleagues know you are unavailable. By marking an event as Private, Outlook will hide the subject, location, and notes from anyone who has permission to view your calendar, replacing the details with the word "Private" and maintaining your availability status as "Busy".

  1. Open your Outlook Calendar.
  2. Double-click the specific event you wish to hide.
  3. In the Appointment or Meeting tab on the top ribbon, locate the Tags group.
  4. Click the Private (padlock icon) button.
  5. Click Save & Close.

Detailed Instructions

Using Outlook for Windows (Classic and New)

  1. Launch Outlook and navigate to the Calendar view using the icon in the bottom-left or side navigation bar.
  2. Right-click the event you want to secure and select Open.
  3. Look at the top menu ribbon. Under the Appointment tab, find the Tags section.
  4. Select the Private button. You will notice the padlock icon becomes highlighted.
  5. Ensure the Show As dropdown is set to Busy. This ensures that while the details are hidden, you are not accidentally marked as Free, which would allow others to book over your appointment.
  6. Click Save & Close.

Using Outlook on the Web (OWA)

  1. Log in to your account via your browser.
  2. Switch to the Calendar module.
  3. Click once on the event to open the summary window, then click Edit.
  4. In the event editing window, look for the Private button (represented by a padlock icon) usually located in the top toolbar or under the More options menu.
  5. Toggle the Private switch to "On".
  6. Click Save.

Troubleshooting Common Issues

Why can my manager still see my private events?

In many corporate environments, administrators or managers may be granted Delegate permissions. If a user has "Delegate" access with the Delegate can see my private items checkbox enabled, they will be able to see the full details of your private appointments regardless of the padlock setting.

The event shows as 'Free' instead of 'Busy'

Marking an item as private does not automatically change your availability status. If your colleagues can book meetings during your private appointment, check the following:

Warning: Be cautious when marking recurring series as private. If you mark the entire series as private, every single occurrence of that meeting will be hidden. If you only need to hide one specific instance, select Just this one when prompted by Outlook.

Syncing across devices

If you mark an event as private on the Outlook desktop app but it still appears public on a mobile device, ensure your device is syncing via Exchange or Microsoft 365 protocols. Basic IMAP or POP3 configurations may not consistently sync the "Private" flag across all platforms.
