When a shared team calendar in Microsoft 365 stops showing events created by other team members, the cause is usually a permission, delegation, or sync setting rather than a fault with the calendar itself. This guide walks you through the most common reasons events go missing and the exact steps to restore full visibility for your group. The instructions cover Outlook on the web, the new Outlook for Windows, classic Outlook for Microsoft 365, and Outlook for Mac.

Quick Fix Steps

Before diving into detailed troubleshooting, try these fast checks first. They resolve the majority of missing-event reports we see.

  1. Confirm the missing event actually exists. Ask the organiser to open their personal calendar and verify the entry is still there and not sitting in a different calendar or folder.
  2. Refresh the shared calendar. Close and reopen Outlook, or press F5 in classic Outlook to force a sync.
  3. Check the date range. Shared calendars default to showing one month. Drag the slider further out or click Today to jump back to the current view.
  4. Confirm you have at least Read permissions. Open the shared calendar's properties and review the permissions tab.
  5. Check the organiser's default calendar. If the event was saved to a secondary calendar rather than their primary one, it will not appear on the shared view.
Most missing-event issues are caused by someone saving the appointment to a personal or secondary calendar instead of the shared one. Always confirm the source calendar first.

Detailed Instructions

Verify the Event Was Created on the Shared Calendar

The single most common cause is that a team member created the event on their personal calendar rather than the shared one. Events only appear in the shared view when they are authored directly on it.

  1. Ask the organiser to open Outlook and look at the folder list on the left.
  2. Confirm the event exists under the shared calendar name, not under Calendar (their personal one).
  3. If the event is in the wrong place, drag and drop it onto the shared calendar, or right-click the event and choose Move > Copy to Shared Calendar Name.

Check and Repair Permissions on the Shared Calendar

If the event is definitely on the shared calendar but you still cannot see it, your access level may be too restrictive.

  1. In Outlook, right-click the shared calendar in the folder list.
  2. Select Properties (or Calendar Properties in classic Outlook).
  3. Open the Permissions tab.
  4. Locate your name or the security group you belong to.
  5. Ensure the permission level is set to at least Reviewer for read-only access or Editor if you also need to create events.
  6. Click OK and restart Outlook.
If you do not see your name listed at all, ask the calendar owner or your Microsoft 365 administrator to add you. The shared calendar owner can do this from Outlook on the web under Calendar > Settings > Shared calendars.

Re-add the Shared Calendar in Outlook

Sometimes the connection to the shared mailbox becomes stale, particularly after mailbox migrations or licence changes. Removing and re-adding the calendar forces Outlook to rebuild the connection.

  1. Right-click the shared calendar in the folder list.
  2. Select Remove Calendar or Delete Calendar.
  3. Close and reopen Outlook.
  4. On the Home ribbon, click Add Calendar > From Address Book (or Open Shared Calendar in classic Outlook).
  5. Type the name or email address of the shared mailbox and click OK.

Check the Organiser's Default Calendar Setting

If a team member consistently creates events on the wrong calendar, their Outlook may be defaulting to a personal calendar when they accept meeting invites.

  1. In Outlook on the web, click Settings (gear icon) > Calendar > Events from email and confirm the destination calendar is set to the shared one.
  2. In classic Outlook, go to File > Options > Calendar and review the Default calendar settings under New meeting requests and responses.
  3. Encourage organisers to always select the shared calendar from the drop-down when creating new events.

Confirm the Shared Mailbox Is Licensed Correctly

Shared mailboxes in Microsoft 365 require either a Microsoft 365 licence or an Exchange Online licence to function fully. An unlicensed shared mailbox can silently stop syncing after 30 days.

  1. Sign in to the Microsoft 365 admin centre as an administrator.
  2. Go to Users > Active users.
  3. Locate the shared mailbox.
  4. Open Licences and apps and confirm a valid Exchange Online licence is assigned.
If your organisation uses a Microsoft 365 Business Basic plan or higher, shared mailboxes are typically covered. If you are unsure, raise this with your IT administrator or managed services provider.

Check Outlook View Filters

Outlook can filter out events based on category, date range, or show-as status. A misconfigured filter is a frequent culprit.

  1. Open the shared calendar view.
  2. On the View ribbon, click Filter.
  3. Review the active filter and click Clear All to remove it.
  4. Also check the Arrange > Categories settings to ensure no categories are hidden.

Troubleshooting

Events Still Missing After All Steps

If you have completed every step above and events are still not appearing, the issue may be deeper in the Exchange Online service. Try the following:

Only Some Team Members Are Affected

If only certain users cannot see events, the issue is almost always permissions. Compare the affected users' permission entries on the shared calendar against a working user. Differences in group membership, nested groups, or explicit deny rules are the usual cause.

Events Disappeared After a Licence Change or Migration

When mailboxes are migrated between plans or tenants, shared calendar permissions can reset. Re-add the affected users using the steps in Check and Repair Permissions on the Shared Calendar above. If the shared mailbox itself was migrated, allow up to 24 hours for full replication across Microsoft's datacentres.

Never delete the shared mailbox to "fix" missing events. Doing so will permanently remove all calendar data and cannot be reversed without a recent backup.

Mobile Devices Not Syncing the Shared Calendar

If the shared calendar is not appearing on iOS or Android devices, the mobile Outlook app needs to be configured to show it.

  1. Open the Outlook app on the mobile device.
  2. Tap the calendar icon, then tap the menu (three dots or lines) and choose Add Account if the shared mailbox is not yet added, or Calendars to toggle visibility.
  3. For shared mailboxes, ensure the account has been added with full mailbox access. On iOS, go to Settings > Mail > Accounts and confirm the shared mailbox is listed and toggled on.
  4. Force a sync by opening the app, pulling down on the calendar view to refresh.
  5. If the shared calendar still does not appear, remove and re-add the account on the device.
Some mobile devices only show shared calendars if the user has been granted Full Access to the shared mailbox, not just calendar permissions. Confirm this with your Microsoft 365 administrator if the calendar remains hidden.
