If your Microsoft 365 calendar meetings are suddenly missing attendee lists, RSVP responses, or tracking information, the issue is usually related to caching, view settings, or a corrupted Outlook profile. This guide walks you through resolving the problem across Outlook desktop, Outlook on the web, and the new Outlook for Windows.

Quick Fix Steps

Before diving into detailed troubleshooting, try these common fixes first:

  1. Restart Outlook completely and reopen your calendar.
  2. Switch to a different calendar view (for example, from Day to Week) and back again.
  3. Check the meeting in Outlook on the web at outlook.office.com to confirm whether the issue is local or server-side.
  4. Sign out of your Microsoft 365 account, then sign back in.

Detailed Instructions

1. Confirm the Meeting Has Tracking Enabled

Tracking is only available on meetings, not appointments. If attendees or responses are missing, the item may have been created as an appointment rather than a meeting.

  1. Open the calendar event in question.
  2. Check the ribbon for the Tracking button (under Meeting tab in classic Outlook).
  3. If Tracking is greyed out, the item is an appointment. Convert it by adding attendees in the To field.

2. Update the Calendar View in Classic Outlook

Sometimes the attendee column is simply hidden in your current view.

  1. Switch to Calendar view.
  2. Go to View > Change View > select List.
  3. Right-click the column header and choose Field Chooser.
  4. Drag Required Attendees, Optional Attendees, and Response Status into the column header area.
  5. Return to View > Change View > Calendar to restore your normal layout.

3. Clear the Outlook Cache

A corrupted cache can prevent attendee and response data from syncing properly.

  1. Close Outlook completely.
  2. Press Windows + R, type %localappdata%\Microsoft\Outlook\RoamCache, and press Enter.
  3. Select all files in the folder and delete them.
  4. Reopen Outlook and allow it to rebuild the cache.
Deleting the RoamCache folder is safe. Outlook will automatically redownload your mailbox data from the server.

4. Recreate the Outlook Profile

If clearing the cache does not resolve the issue, your Outlook profile may be corrupted.

  1. Open the Control Panel and search for Mail (Microsoft Outlook).
  2. Click Show Profiles.
  3. Click Add and follow the prompts to create a new profile using your email address.
  4. Set the new profile as the default under Always use this profile.
  5. Restart Outlook and verify that attendees and responses now appear.

5. Check Outlook on the Web

Testing in Outlook on the web helps determine whether the issue is with your local installation or your mailbox itself.

  1. Open a browser and go to outlook.office.com.
  2. Sign in with your Microsoft 365 credentials.
  3. Open the same calendar event.
  4. If attendees and responses appear here but not in the desktop app, the issue is local to your Outlook installation.

6. Reset the New Outlook for Windows

If you are using the new Outlook for Windows, a quick reset can resolve syncing issues.

  1. Click the Settings gear icon in the top-right corner.
  2. Go to General > Reset.
  3. Select Reset to confirm.
  4. Reopen Outlook and reconfigure your account if prompted.

Troubleshooting

Attendees Visible in Web but Not Desktop

This usually points to a corrupted local profile or cache. Complete steps 3 and 4 above to resolve it.

Responses Not Updating

If attendees are listed but their accept or decline status is not updating:

  1. In classic Outlook, go to Send/Receive > Send/Receive Groups > Define Send/Receive Groups.
  2. Ensure Check for new mail in all folders is enabled and set to a short interval (for example, every 5 minutes).
  3. Click OK to save.

Shared Calendars Showing No Attendees

If you are viewing a colleague's calendar and attendees are missing, you may not have the correct permissions.

  1. Right-click the shared calendar in the folder list.
  2. Select Properties > Permissions tab.
  3. Confirm your access level is at least Reviewer with permission to view private items if required.
If your organisation uses Microsoft Purview sensitivity labels, meetings marked as Confidential or Highly Confidential may hide attendee details from users without the appropriate clearance. Speak with your Microsoft 365 administrator if you suspect this is the cause.

Mobile Devices Not Syncing Responses

If your desktop Outlook shows responses but your phone does not:

  1. Open the Outlook mobile app.
  2. Go to Settings > tap your account > Sync Calendar.
