How to fix Outlook calendar events showing the wrong location or missing the room booking when using Microsoft 365
Summary
This guide helps you troubleshoot and resolve: How to fix Outlook calendar events showing the wrong location or missing the room booking when using Microsoft 365. Follow the steps below to fix the issue.
Common Causes
If your Outlook calendar events are showing the wrong location, dropping the room booking, or failing to attach a resource mailbox to your meeting invites, the cause is usually a caching issue, a stale mailbox profile, or a conflict between cached and server-side data in Microsoft 365. This guide walks you through the most common fixes, starting with the quickest checks and moving into more detailed troubleshooting steps.
Quick Fix Steps
Try these steps first — they resolve the issue in most cases.
- Restart Outlook fully. Close the application, wait ten seconds, then reopen it. Outlook refreshes its local cache on startup.
- Check your internet connection and confirm you are signed into the correct Microsoft 365 account by clicking your profile icon in the top-right corner of Outlook.
- Open the affected meeting in Outlook on the web (outlook.office.com) using the same account. If the location and room booking display correctly there, the issue is isolated to your desktop or mobile Outlook client.
- Recreate the meeting from Outlook on the web rather than the desktop client. New meetings created in the web app bypass local cache issues.
Detailed Instructions
Step 1: Verify the Room Resource in Outlook on the Web
Before adjusting any settings, confirm the resource mailbox is set up correctly in Microsoft 365.
- Sign in to Outlook on the web at
outlook.office.com. - Open Calendar from the left-hand navigation.
- Create a New event.
- Click Add room (or Add a room) in the location field.
- Search for the room by name or email address. If the room appears and can be added, the resource is configured correctly in Microsoft 365.
- Send a test invite and verify the room accepts it.
If the room does not appear or cannot be added, your Microsoft 365 administrator needs to verify the resource mailbox configuration. Open a Ticket and we will check the backend settings for you.
Step 2: Clear the Outlook Desktop Cache
Outlook desktop clients cache calendar data locally. When that cache becomes out of sync with the server, location and room information can display incorrectly or disappear entirely.
- Close Outlook completely.
- Open File Explorer and navigate to
%localappdata%\Microsoft\Outlook\RoamCache. - Select all files in this folder and move them to a backup location (do not delete them yet).
- Restart Outlook. The cache will rebuild automatically from the server.
- Open the affected meeting and confirm the location and room booking now display correctly.
Step 3: Recreate Your Outlook Profile
If clearing the cache does not resolve the issue, your Outlook profile may be corrupted. Recreating it forces Outlook to build a fresh connection to your Microsoft 365 mailbox.
- Close Outlook.
- Open the Control Panel and search for Mail (Microsoft Outlook).
- Click Show Profiles.
- Click Add, name the new profile (for example, "Outlook 2024"), and follow the prompts to add your Microsoft 365 email account.
- Set Always use this profile to your new profile.
- Click OK and restart Outlook.
- Test the meeting again.
Step 4: Check Outlook for Room Booking Policies
Microsoft 365 administrators can configure booking policies that determine whether users can book rooms directly or whether requests require approval. If your meeting shows the wrong location, the room may have been auto-rejected or reassigned.
- Open the affected meeting in Outlook on the web.
- Click Tracking or Responses to view the room's response.
- If the response shows Declined or Tentative with a different room, the booking policy has reassigned your meeting.
- Open the meeting and select a different room from the room finder, or contact your administrator to review the booking policy.
Step 5: Update Outlook
Outdated Outlook clients can cause compatibility issues with Microsoft 365 calendar features, particularly around resource mailboxes and room bookings.
- Open Outlook.
- Click File > Account > Update Options > Update Options > Update Now.
- Allow the update to complete and restart Outlook.
- For Outlook on Mac, click Help > Check for Updates from the menu bar.
Troubleshooting
Mobile Outlook App Shows the Wrong Location
The Outlook mobile app uses its own cache and can take longer to sync changes.
- Open the Outlook app and tap your profile icon.
- Tap the gear icon to open Settings.
- Select your account and tap Sync Calendar.
- Toggle the account off and on, or remove and re-add the account if the issue persists.
Room Appears Greyed Out or Unavailable
If the room resource is greyed out when adding it to a meeting, it usually means the room is already booked for that time slot or has been disabled in the Microsoft 365 admin centre.
- Use the Room Finder in Outlook to search for an alternative time or available room.
- If you believe the room should be available, Open a Ticket so we can verify the resource mailbox status.
Meeting Shows Correct Location in Outlook but Wrong Location in Teams
Microsoft Teams reads calendar data from the same Microsoft 365 backend, but cached Teams data can occasionally display outdated information.
- Close and reopen Microsoft Teams.
- Press
Ctrl+F5(Windows) orCmd+Shift+R(Mac) to force a refresh. - Sign out of Teams and sign back in to force a full resync.
Location Field is Empty When Forwarding a Meeting
Forwarded meetings can lose location data if the original organiser did not include it, or if your organisation has a transport rule stripping location fields. Check the original meeting in the organiser's calendar first. If the location is present there but missing when you forward it, your Microsoft 365 administrator will need to review the transport rules.
