In Microsoft Outlook, marking an appointment as 'Private' is the standard way to hide sensitive details from colleagues who have access to your calendar. However, users often find that while the details are hidden, the event still appears as 'Busy' to others. This is the intended behaviour to prevent double-booking, but it can be managed through your permission settings to ensure the right balance between privacy and transparency.

If you simply want to hide a specific appointment's details while keeping your time blocked out:

  1. Open your Calendar in Outlook.
  2. Double-click the specific appointment or meeting.
  3. In the Appointment or Meeting tab on the top ribbon, click the Private (padlock icon) button.
  4. Click Save & Close.

If your colleagues can see too much information, or if you want to change how 'Private' events are displayed across your entire organisation, you need to adjust your folder permissions.

Adjusting Permissions in Outlook Desktop (Windows)

  1. Right-click your Calendar folder in the left-hand navigation pane.
  2. Select Properties from the context menu.
  3. Navigate to the Permissions tab.
  4. In the Permissions list, select the user or the Default group (which applies to everyone in your organisation).
  5. Under the Permission Level dropdown, choose one of the following:
    • Can view when I am busy: Others see only 'Busy', 'Free', or 'Tentative' for all events, including private ones.
    • Can view titles and locations: Others see the subject and location of public events, but private events will still only show as 'Private Appointment'.
    • Can view all details: Others see full details of public events. Private events remain hidden.
  6. Click Apply and then OK.

Adjusting Permissions in Outlook on the Web (OWA)

  1. Log in to your account via the web browser.
  2. Click the Calendar icon.
  3. Click Share in the top right corner of the screen.
  4. Enter the name or email address of the person you wish to share with, or select People in my organisation.
  5. Select the appropriate permission level from the dropdown menu (e.g., Can view when I'm busy).
  6. Click Share.
Pro Tip: If you want an event to be completely invisible to everyone (not even showing as 'Busy'), you must create the event on a separate, non-shared calendar or use a personal calendar not synced with your business account.

Private events are still showing full details

If a colleague can still see the details of an event you marked as private, check the following:

Warning: Be cautious when granting Editor or Owner permissions. Users with these levels of access may be able to modify your appointments, though the 'Private' flag will still protect the content of the event unless the 'Delegate can see my private items' setting is active.

The 'Private' button is missing

If you cannot find the Private button in the ribbon, ensure you are in the Appointment or Meeting view and not the general calendar view. If it is still missing, your organisation may have a Group Policy in place that restricts this feature.
