If your Outlook calendar is displaying the same event twice after syncing with your mobile device, you're not alone. This commonly occurs when both your phone and Outlook are configured to sync the same calendar using different methods, such as an Exchange account plus a separate IMAP or Google account. The good news is the duplicates can be cleaned up and prevented from coming back with a few targeted changes.

  2. Remove duplicate calendar entries from Outlook.
  3. Disable the duplicate calendar sync on your mobile device.
  4. Restart Outlook and your phone to confirm the changes.

Detailed Instructions

Step 1: Identify the Duplicate Sync Source

Before deleting anything, work out which accounts are pushing the same events into Outlook. On your computer:

  1. Open Outlook.
  2. Click File > Account Settings > Account Settings.
  3. Review the list of configured accounts. Look for two accounts pointing to the same mailbox, such as a Microsoft 365 account and a Google account synced via IMAP, or two Exchange accounts for the same email address.

On your mobile device, open your calendar app and check which calendars are toggled on. If you see both your work calendar and a personal Google or iCloud calendar listed, and both contain the same events, that is your source of duplication.

Step 2: Remove Duplicate Events in Outlook

Outlook does not have a built-in "remove duplicates" button, so the safest approach is to delete the duplicates manually.

Option A: Manual Removal (small numbers)

  1. Switch to Calendar view in Outlook.
  2. Hold Ctrl and click each duplicate event to select them.
  3. Press Delete and confirm.

Option B: Manual Removal (large numbers)

  1. Switch to List view in the Calendar.
  2. Sort by Subject or Start to group similar events together.
  3. Select the duplicate entries and press Delete.
Always back up your calendar before performing bulk deletions. In Outlook, go to File > Open & Export > Import/Export > Export to a file > Comma Separated Values and select Calendar.

Step 3: Disable the Duplicate Calendar on Your Mobile Device

iPhone (iOS 17 and later)

  1. Open Settings > Mail > Accounts.
  2. Tap each account and toggle off Calendars for any account that is duplicating events.
  3. Alternatively, open the Calendar app, tap Calendars at the bottom of the screen, and untick the duplicate calendar so it no longer displays.

Android (Google Calendar)

  1. Open Settings > Accounts (or Passwords & Accounts on some devices).
  2. Tap the account causing duplicates and toggle off Sync Calendar.
  3. Or open the Calendar app, tap the hamburger menu, and untick the duplicate calendar from view.

Step 4: Restart and Verify

  1. Close Outlook completely on your computer.
  2. Restart your mobile device.
  3. Open Outlook and check that events are no longer duplicated.
  4. Create a test event on your phone and confirm it appears only once in Outlook.

Preventing Duplicates in the Future

Deleting the wrong calendar can permanently remove legitimate events. If you are unsure which calendar is the duplicate, right-click the calendar in Outlook and choose Properties to confirm the account owner before deleting.

Troubleshooting

Duplicates Return After Restart

If duplicates reappear, the duplicate sync source is still active. Repeat Step 1 and confirm that only one account is set to sync the affected calendar on both devices.

Events Show on Phone but Not in Outlook

This usually means the phone is syncing with a cloud service that Outlook is not connected to. Add the matching account in Outlook via File > Account Settings > New.

Cannot Delete a Duplicate Event

If an event will not delete, it may be a recurring meeting series. Right-click the event and choose Delete > The entire series.

Outlook Version Differences

Menu paths can vary slightly between New Outlook, Classic Outlook, and Outlook for Mac. On Mac, the equivalent path is Outlook > Settings > Accounts.
