This article applies to Outlook for Microsoft 365, Outlook 2021, 2019, and 2016 on Windows. For Outlook on Mac, see the account setup guide for folder mapping options.

When you send an email in Outlook, a copy is normally saved to the Sent Items folder of the account you sent it from. If sent messages are being saved to a different folder — or not being saved at all — the cause is usually a misconfigured account setting, a corrupted Outlook profile, or an add-in interfering with the send process. This guide walks you through the most effective fixes in order.

Quick Fix Steps

Try these first. They resolve the majority of sent item folder issues without requiring deep configuration changes.

  1. Restart Outlook in Safe Mode. Hold the Ctrl key and double-click the Outlook shortcut, then click Yes when prompted. Send a test email. If it saves correctly, an add-in is the culprit — proceed to the Add-in Conflict section below.
  2. Check the account's Sent Items setting. Go to File > Account Settings > Account Settings (or Tools > Accounts on older versions). Select the account, click Change, then click More Settings. On the Sent Items tab, verify the correct folder is selected.
  3. Repair your Outlook profile. Close Outlook, open Control Panel > Mail > Show Profiles. Select your profile, click Properties > Email Accounts, then select the account and click Repair.

Detailed Instructions

Add-in Conflict

Third-party add-ins — particularly antivirus integrations, CRM tools, and email archiving plugins — can intercept the send process and redirect or block the saving of sent items.

  1. Close Outlook completely.
  2. Press Windows + R, type outlook.exe /safe, and press Enter.
  3. Send a test email to yourself. Check whether it appears in Sent Items.
  4. If it does, an add-in is causing the problem. Go to File > Options > Add-ins.
  5. At the bottom, select COM Add-ins from the dropdown and click Go.
  6. Uncheck all add-ins, then re-enable them one at a time, testing after each, until you identify the offender.
  7. Disable or update the problematic add-in permanently.

Delegated Mailbox Sent Items

If you send emails on behalf of another mailbox (a shared mailbox or a delegated user), Outlook may save those sent items to your own Sent Items folder instead of the delegated mailbox's folder. This is controlled by a registry setting on Windows.

Editing the Windows registry incorrectly can cause serious system problems. Back up the registry before making changes, or contact your IT administrator if you are unsure.
  1. Close Outlook.
  2. Press Windows + R, type regedit, and press Enter.
  3. Navigate to: HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Outlook\Preferences
  4. Right-click in the right pane, select New > DWORD (32-bit) Value, and name it DelegateSentItemsStyle.
  5. Double-click the new value and set it to 1.
  6. Click OK and restart Outlook.

After this change, emails sent on behalf of a delegated mailbox will be saved to that mailbox's Sent Items folder.

IMAP Account Folder Mapping

For IMAP accounts, Outlook may save sent items to a server-side folder with a different name (for example, Sent instead of Sent Items). This can make it appear that sent emails are going to the wrong folder.

  1. Go to File > Account Settings > Account Settings.
  2. Select your IMAP account and click Change.
  3. Click More Settings, then go to the Sent Items tab.
  4. Select Save sent items in the following folder on the server.
  5. Choose the correct folder from the list (usually Sent Items or Sent).
  6. Click OK, then Next, then Finish.
If you use multiple devices with the same IMAP account, make sure all devices are configured to save sent items to the same server folder. Otherwise, sent emails will appear scattered across different folders depending on which device you used.

Corrupted Outlook Profile

If the above steps do not resolve the issue, your Outlook profile may be corrupted. Creating a new profile often fixes persistent sent item problems.

  1. Close Outlook.
  2. Open Control Panel > Mail > Show Profiles.
  3. Click Add to create a new profile, and give it a recognisable name (for example, Outlook-New).

  5. Under When starting Microsoft Outlook, use this profile, select Prompt for a profile to be used.
  6. Click OK, then start Outlook and select the new profile.
  7. Send a test email. If sent items save correctly, you can delete the old profile once you have confirmed all data is intact.
Deleting an old profile does not delete your email data if it is stored on the server (Exchange, Microsoft 365, or IMAP). Sent Items Missing Entirely

Sent Items Going to a Different Account's Folder

This occurs when you have multiple accounts configured and the default sending account is not the one you expect.

  1. When composing a new email, check the From field. If it is blank, Outlook uses the default account.
  2. To change the default account, go to File > Account Settings > Account Settings, select the desired account, and click Set as Default.
  3. Alternatively, always select the correct account in the From field before sending.
