It can be frustrating when you know an email exists in a specific folder or subfolder, but Outlook fails to return it in the search results. This issue is typically caused by a corrupted search index, an incorrect search scope setting, or a synchronisation error between your local client and the Microsoft 365 server.

Quick Fix Steps

Before attempting a full index rebuild, try these simple adjustments to ensure the search is looking in the right place.

Check Your Search Scope

  1. Click into the Search bar at the top of Outlook.
  2. In the top ribbon, locate the Search tab.
  3. In the Scope group, check which option is selected. If it is set to Current Folder, Outlook will ignore emails in subfolders.
  4. Change the scope to All Outlook Items or Current Mailbox to broaden the search.

Detailed Instructions: Rebuilding the Search Index

If changing the scope does not work, the Windows Search Index may be corrupted. Rebuilding the index forces Windows to re-analyse every item in your mailbox.

Step 1: Access Indexing Options

  1. In Outlook, click the File tab in the top left corner.
  2. Select Options from the left-hand menu.
  3. In the Outlook Options window, select the Search category.
  4. Click the Indexing Options... button.

Step 2: Rebuild the Index

  1. In the Indexing Options window, click the Advanced button (this may require administrator permissions).
  2. Under the Index Settings tab, locate the Troubleshooting section.
  3. Click the Rebuild button.
  4. A dialogue box will appear warning you that this may take some time. Click OK.
Rebuilding the index can take several hours depending on the size of your mailbox. Search functionality will be limited or unavailable until the process is complete. We recommend starting this process at the end of your business day.

Troubleshooting Advanced Issues

Verify Outlook is Included in the Index

If rebuilding doesn't help, ensure that Microsoft Outlook is actually being indexed by Windows:

  1. Go back to Indexing Options (File > Options > Search > Indexing Options).
  2. Click Modify.
  3. Ensure the checkbox for Microsoft Outlook is ticked. If it is not, tick it and click OK.

Check for Data File Corruption

Disable Conflicting Rules

Occasionally, overly complex rules can move emails to folders faster than the index can keep up, or move them to unexpected locations. Review your current configuration in Organizing Emails with Rules and Alerts in Outlook to ensure emails are landing where you expect.
