Common Causes
OneDrive automatically saves previous versions of your files as you work. If a document has been accidentally overwritten or modified, you can restore an earlier copy directly from the OneDrive website. This guide walks you through recovering overwritten files using Version History.
Restore a Previous Version from OneDrive Web
- Go to
onedrive.live.comand sign in using your Microsoft account credentials. - Browse to the folder containing the file you need to recover.
- Right-click the file name and select Version history from the context menu.
- A list of previous versions will appear, showing the date, time, and person who last modified each version.
- Click on a version to preview it before restoring.
- Once you have identified the correct version, click the Restore button.
- Confirm the action when prompted. The selected version will replace the current file.
Restoring a previous version replaces the current file. If you want to keep both, download the older version instead and save it as a separate file.
Download an Older Version Without Overwriting
- Open the Version history pane for the file.
- Click the three dots (...) next to the version you want.
- Select Download.
- Save the file to your computer with a new name to avoid confusion.
Troubleshooting
Version History is Missing or Empty
- Ensure you are signed into the correct Microsoft account that owns the file.
- Version history is only available for files stored in OneDrive, not local folders that are not synced.
- If the file was recently created, versions may not have been generated yet.
Restore Button is Greyed Out
- Verify you have edit permissions for the file. View-only access prevents restoring.
- Try selecting a different version from the list.
File is Locked or in Use
- Close the file in any desktop applications (such as Microsoft Word or Excel) before attempting to restore.
- If the file is open in another user's session, wait until they close it.
OneDrive version history is not a complete backup solution. For critical business data, we recommend maintaining separate backups.
