Common Causes

Maintaining an organised calendar is essential for business productivity. However, synchronisation errors between devices or accidental double-bookings can lead to duplicate entries and conflicting appointments. This guide will help you identify the cause of these issues and clean up your Microsoft Outlook calendar.

Quick Fix Steps

Before diving into deep configuration changes, try these rapid solutions to resolve common synchronisation glitches:

Removing Duplicate Calendar Entries

Duplicates often occur when a third-party mobile app synchronises with Outlook. Depending on the volume of duplicates, use one of the following methods:

Manual Removal (Small Number of Duplicates)

  1. Open your Calendar view.
  2. Switch your view to List by going to the View tab > Change View > List.
  3. Sort the list by Subject or Start Date to group identical entries together.
  4. Hold the Ctrl key and click each duplicate entry you wish to remove.
  5. Press the Delete key on your keyboard.

Automated Cleanup (Large Number of Duplicates)

If you have hundreds of duplicates, manually deleting them is impractical. We recommend using a third-party Outlook add-in or a PowerShell script. If you are uncomfortable running scripts, please Open a Ticket for assistance.

Resolving Calendar Invite Conflicts

Conflicts typically occur when two meetings overlap or when an invite is accepted but doesn't update correctly across all devices.

Managing Overlapping Appointments

  1. Navigate to the Calendar view.
  2. Identify the conflicting time slots (indicated by overlapping blocks).
  3. Click and drag the appointment you wish to move to a new time, or open the event and change the Start time and End time.
  4. If the event was an invite from someone else, select Propose New Time to notify the organiser of the conflict.

Fixing "Ghost" Appointments

Ghost appointments are entries that appear on your calendar but cannot be deleted or modified.

  1. Close Outlook completely.
  2. Press Windows Key + R, type outlook.exe /cleanviews, and press Enter.
  3. If the issue persists, try opening Outlook in Safe Mode by typing outlook.exe /safe in the Run dialogue. If the ghost entry disappears, a third-party add-in is likely causing the conflict.

Preventing Future Conflicts

To maintain a clean schedule and prevent the recurrence of duplicate entries, follow these best practices:

Warning: Be cautious when using "Delete All" functions in List View. Ensure you have not selected unique appointments that happen to have the same subject name as the duplicates.
