Common Causes

When scheduling meetings in Microsoft Outlook, you may encounter "Conflict" or "Double Booking" warnings. These occur when a new appointment overlaps with an existing entry on your calendar. Depending on your business requirements, you may wish to strictly prevent these overlaps or allow them for flexibility.

Quick Fix Steps

If you have received a conflict warning and simply want to proceed with the booking, follow these steps:

  1. Click Yes or Accept when the conflict dialogue box appears.
  2. Check your calendar view to ensure the overlap does not interfere with critical business operations.
  3. If the conflict was a mistake, right-click the overlapping event and select Delete or Move.

Detailed Instructions

Managing Double Booking for Resource Mailboxes

For small businesses using shared resources (such as a boardroom or a company vehicle), you can configure whether the resource allows double-booking.

  1. Log in to the Exchange Admin Center or have your administrator perform these steps.
  2. Navigate to Recipients > Resources.
  3. Select the specific resource mailbox you wish to modify.
  4. Go to Booking or Delegation settings.
  5. Locate the option AllowRepeatingMeetings or AllowConflicts.
  6. Toggle the setting to On if you want the resource to accept multiple bookings for the same time slot, or Off to prevent double-booking.
  7. Click Save.

Handling Personal Calendar Conflicts

For individual users, Outlook does not "block" you from double-booking your own calendar, but it will warn you if you invite others to a time when you are already busy.

Using the Tentative status is the best way to signal to your organisation that you may be unavailable, but are open to being rescheduled if a priority conflict arises.

Troubleshooting

Why am I seeing conflicts for "Ghost" meetings?

Sometimes Outlook reports a conflict even when the calendar appears empty. This is often due to synchronisation lag or hidden appointments.

  1. Check if you have multiple calendars enabled (e.g., a personal calendar and a shared team calendar).
  2. Ensure your Filter settings are not hiding certain categories of appointments.
  3. Restart Outlook. If the application is unresponsive, use Ctrl + Shift + Esc to open the Task Manager, end the Outlook process, and relaunch the application.
If you are managing a shared resource mailbox, enabling double-booking can lead to physical clashes (e.g., two teams attempting to use the same boardroom). We recommend keeping this disabled for physical assets.

If you are unable to resolve these conflicts or believe there is a synchronisation error with your Microsoft 365 account, please Open a Ticket.
