Choosing Your Backup Strategy

For most small businesses and home office users, we recommend the 3-2-1 backup rule: keep three copies of your data, on two different media types, with one copy stored off-site (cloud storage).

Option 1: Using Microsoft OneDrive (Cloud Automation)

OneDrive is the standard for most Windows-based business environments as it synchronises files in real-time.

  1. Click the OneDrive (cloud) icon in your system tray (bottom right corner of the taskbar).
  2. Select the Settings (gear icon) and then click Settings again.
  3. Navigate to the Sync and backup tab.
  4. Select Manage backup.
  5. Toggle the switches to On for the folders you wish to automate (typically Desktop, Documents, and Pictures).
  6. Click Save changes. Your files will now automatically sync to the cloud whenever a change is made.

Option 2: Using macOS Time Machine (Local Automation)

For Apple users, Time Machine provides a comprehensive system-wide backup to an external drive.

  1. Connect your external hard drive to your Mac.
  2. Open the Apple Menu > System Settings > General > Time Machine.
  3. Click Add Backup Disk and select your connected drive from the list.
  4. Click Set Up Disk.
  5. Ensure the Back Up Automatically option is selected. macOS will now perform hourly backups for the past 24 hours, daily backups for the past month, and weekly backups for all previous months.

Option 3: Using Windows File History (Local Automation)

If you prefer a local copy on a network drive or external disk without using the cloud.

  1. Connect your external storage device.
  2. Open the Start Menu and type Control Panel, then press Enter.
  3. Go to System and Security > File History.
  4. Click Select drive in the left-hand pane and choose your external disk.
