Common Causes

Using an external Solid State Drive (SSD) is one of the fastest ways to secure your business data. Unlike traditional Hard Disk Drives (HDDs), SSDs have no moving parts, making them more durable and significantly faster for large data transfers. This guide will guide you through the process of preparing your drive and configuring it for optimal backup performance.

Preparing Your External SSD

Before you begin transferring files, it is essential to ensure the drive is formatted with a file system compatible with your operating system. Using the wrong format can lead to "Read Only" errors or the drive not appearing at all.

Formatting for Windows

  1. Connect your SSD to a USB port (preferably USB 3.0 or USB-C for maximum speed).
  2. Open File Explorer and right-click on the drive icon.
  3. Select Format... from the context menu.
  4. Under File system, select NTFS for Windows-only use, or exFAT if you need to move files between Windows and Mac.
  5. Ensure Quick Format is checked and click Start.

Formatting for macOS

  1. Connect your SSD to your Mac.
  2. Open Disk Utility (found in Applications > Utilities).
  3. Select the external drive from the list on the left.
  4. Click the Erase button in the top toolbar.
  5. Choose APFS for modern macOS versions, or exFAT for cross-platform compatibility.
  6. Click Erase to confirm.
Warning: Formatting a drive erases all existing data on that device. Ensure any previous files are backed up elsewhere before proceeding.

Setting Up High-Speed Backups

Once the drive is formatted, you can configure your system to automate the backup process to ensure your organisation's data remains current.

Using Windows File History

  1. Go to Start > Settings > Update & Security > Backup.
  2. Click Add a drive and select your external SSD.
  3. Toggle Automatically back up my files to On.
  4. Click More options to analyse which folders are being backed up and how frequently the system should run the process.

Using macOS Time Machine

  1. Go to the Apple Menu > System Settings > General > Time Machine.
  2. Click Add Backup Disk and select your SSD.
  3. Choose Set Up Disk.
  4. Enable Encrypt Backup for added security of your business data.
