- Right-click your primary calendar in the folder list and select Properties (or Permissions on macOS).
- Switch to the Permissions tab and click Add.
- Search for the colleague's name, select them, and click Add followed by OK.
- Under the Permission Level drop-down, select Editor to allow them to manage your calendar, then click OK.

Setting Up Delegate Access in Outlook for Windows
The delegate feature provides a more robust setup than basic calendar permissions, as it also allows the delegate to receive meeting requests on your behalf.
- Open Outlook and click on the File tab in the top left corner.
- Select Account Settings and then click on Delegate Access.
- In the Delegates window, click Add.
- Type the name of the person you wish to add as a delegate, select them from the search results, and click Add followed by OK.
- The Delegate Permissions dialog box will appear. Set the permissions for Calendar to your preferred level:
- None: The delegate has no access.
- Author: The delegate can read, create, and modify their own items.
- Editor: The delegate can read, create, and modify all items, including yours.
- Tick the box for Delegate receives copies of meeting-related messages sent to me if you want them to manage your invitations.
- Click OK to save your changes and close the windows.
Setting Up Delegate Access in Outlook on the Web
If you are working remotely or do not have the desktop application installed, you can configure permissions through your browser.
- Navigate to
outlook.office.comand sign in with your 220 Internet Services credentials. - Click the Calendar icon in the left-hand navigation pane.
- In the top ribbon, click Share and select your calendar from the drop-down menu.
- In the sharing dialog, type the name or email address of the person you want to share with.
- Select the appropriate permission level from the drop-down menu, such as Can edit.
- Click Share. The recipient will receive an email notification with a link to accept and open your calendar.
Managing and Removing Delegates
If a colleague changes roles or leaves your organisation, it is important to update their access to maintain calendar security.
- Go to File > Account Settings > Delegate Access.
- Select the delegate's name from the list.
- To change access, click Permissions, adjust the Permission Level, and click OK.
- To remove access entirely, click Remove and then OK to confirm.
Troubleshooting
Delegate Cannot See Your Calendar
If your delegate reports that your calendar appears blank or is missing, ensure they have added it to their Outlook profile. The delegate should:
- Open Outlook and navigate to the Calendar view.
- Go to the Home tab and click Open Calendar.
- Select Open Shared Calendar.
- Type your name in the text box, select your account, and click OK.
Private Appointments Are Visible to Delegates
By default, a delegate with Editor permissions can see the details of appointments you mark as private. To prevent this:
- Go to File > Account Settings > Delegate Access.
- Select the delegate and click Permissions.
- Untick the box labelled Delegate can see my private items.
- Click OK to apply the change.
Meeting Invitations Are Not Reaching the Delegate
If you are still receiving meeting requests instead of your delegate, verify your delivery settings:
- Open Delegate Access from the Account Settings menu.
- Click Delivery Options at the bottom of the window.
- Ensure Send meeting requests and responses only to my delegates, not to me is ticked if you want the delegate to handle all scheduling.
- Click OK to save.
Changes to delegate permissions can take up to 15 minutes to synchronise across Microsoft 365, particularly if the delegate is working on a different network or device. If they still cannot see the updated calendar, ask them to close and reopen Outlook.
Granting Editor permissions allows the delegate to create, modify, and delete appointments directly on your calendar. Only assign this level of access to trusted personnel. If you only need someone to view your availability, use Free/Busy or Reviewer permission levels instead.
