By creating a Shared Calendar Group via a Microsoft 365 Group, your organisation can maintain a centralised view of project deadlines, staff leave, and company milestones that is accessible to all relevant team members without compromising the privacy of personal calendars.

Creating a New Group Calendar

The most efficient way to create a shared calendar in Microsoft 365 is by creating a Microsoft 365 Group. This automatically generates a shared mailbox and a shared calendar.

  1. Open Outlook (Desktop app or Web version).
  2. In the left-hand navigation pane, scroll down to the Groups section.
  3. Select New Group.
  4. Enter a Group Name (e.g., "Marketing Team" or "Project Alpha") and a Group Email Address.
  5. Choose the Privacy setting:
    • Private: Only approved members can see the calendar and content.
    • Public: Anyone in your organisation can see the calendar.
  6. Click Create.
  7. Add the members of your team by typing their names or email addresses, then click Add Members.

Accessing and Using the Shared Calendar

Once the group is created, the calendar will not automatically appear in your primary view; you must select it from the group list.

  1. Navigate to the Calendar module in Outlook.
  2. In the left-hand sidebar, look for the Groups section.
  3. Tick the checkbox next to your newly created group name. The shared calendar will now appear side-by-side with your personal calendar.
  4. To add an event, double-click a time slot on the group calendar or select New Event while the group calendar is active.
Tip: To avoid cluttering members' personal inboxes, you can configure the group so that conversations are sent to the group mailbox only, rather than every member's individual inbox.

Managing Permissions and Membership

If you are the group owner, you can modify who has access to the calendar at any time.

  1. Go to the Outlook Web App (OWA).
  2. Select the group from the Groups list in the left pane.
  3. Click on the group name in the top header to open the Group Card.
  4. Select the Members tab.
  5. From here, you can Add members or remove existing ones by selecting their name and clicking Remove from group.
Important: Be cautious when setting a group to Public. This allows any user within your organisation to view the calendar events and the associated group files.

Calendar Not Appearing in Outlook

If a team member cannot see the shared calendar despite being added to the group, try the following:

Unable to Edit Events

If a user can see the calendar but cannot add or edit events, they may have been added as a guest rather than a full member.

  1. The group owner should verify the user's status in the Members tab of the Group Card.
  2. Ensure the user is listed as a Member or Owner.
  3. If the user is external to your organisation, they may have limited permissions depending on your company's global tenant settings.
