This guide covers three common scenarios: sharing your own calendar with teammates, creating a dedicated team calendar in Microsoft 365, and managing permissions so the right people have the right level of access.

Detailed Instructions

Share your own calendar with a teammate

  1. Open Microsoft Outlook on your computer.
  2. Click the Calendar icon in the bottom-left navigation bar, or press Ctrl+2.
  3. In the left pane under My Calendars, right-click your calendar (usually named Calendar).
  4. Select Sharing Permissions from the context menu.
  5. In the Calendar Properties dialogue box, click the Permissions tab.
  6. Click Add.
  7. Type the person's name or email address in the search field, select them from the results, and click Add again.
  8. Click OK.
  9. With the person selected in the permissions list, choose a permission level from the Permission Level dropdown:
    • Can view when I'm busy — shows only free/busy blocks, no details.
    • Can view titles and locations — shows subject and location, but no other details.
    • Can view all details — shows full appointment information.
    • Can edit — allows the person to create and modify items on your calendar.
    • Delegate — full access plus the ability to send meeting requests on your behalf.
  10. Click Apply, then OK.
The person you share with will receive an email invitation. They must click Open this calendar in that email to add your calendar to their Outlook.

Create a dedicated team calendar in Microsoft 365

If your organisation uses Microsoft 365, a shared mailbox or Microsoft 365 Group calendar is the best way to maintain a single team calendar that everyone can access.

  1. Sign in to the Microsoft 365 Outlook web app with your work account.
  2. Click the Settings gear icon in the top-right corner.
  3. Select View all Outlook settings.
  4. Choose Calendar > Shared calendars.
  5. Under Publish a calendar, select the calendar you want to share and choose the permission level.
  6. Alternatively, to create a new group calendar:
    1. Go to Groups in the left navigation pane.
    2. Click New group.
    3. Enter a group name (for example, "Sales Team Calendar"), a description, and add members.
    4. Click Create.
    5. The group calendar appears automatically under Group calendars in Outlook.
Microsoft 365 Group calendars are ideal for teams of up to around 25 people. Everyone added to the group automatically gets access to the group calendar, mailbox, and shared files.

Open a shared calendar someone sent you

  1. Open the sharing invitation email in Outlook.
  2. Click the Open this calendar button at the top of the email.
  3. The shared calendar appears in the left pane under Shared Calendars.
  4. To view it alongside your own calendar, tick the checkbox next to the calendar name. Both calendars display side by side or overlaid, depending on your view settings.

Manage permissions on a calendar you own

  1. Right-click the calendar in the left pane.
  2. Select Sharing Permissions.
  3. In the Permissions tab, select a person from the list.
  4. Adjust their permission level using the dropdown, or click Remove to revoke access entirely.
  5. Click Apply, then OK.
Revoking a user's permissions does not notify them. If you remove someone's access, let them know directly so they are not confused when the calendar disappears from their Outlook.

Schedule a meeting using a shared calendar

  1. Open the shared team calendar in Outlook.
  2. Click New Meeting on the Home tab.
  3. In the To field, add the attendees' email addresses.
  4. Set the date and time. Use the Scheduling Assistant on the ribbon to see everyone's availability side by side.
  5. Add a subject and location.
  6. Click Send.

Troubleshooting

I can't see the shared calendar after accepting the invitation

  • Restart Outlook completely and check the Shared Calendars section again.
  • In Outlook on the web, click the Calendar icon, then select Add calendar > From directory and search for the person or group name.
  • Confirm with the calendar owner that your email address was entered correctly and that the permission level is not set to None.

The shared calendar shows "No connection" or does not update

  • Check your internet connection and ensure Outlook is online. Look for Work Offline on the Send/Receive tab — if it is highlighted, click it to go back online.
  • Right-click the calendar and select Update Folder or press F9 to force a refresh.
  • Remove and re-add the calendar: right-click it, choose Delete Calendar, then ask the owner to resend the sharing invitation.

I get a permission error when trying to open a shared calendar

  • Ask the calendar owner to verify your permission level. If you need to edit the calendar, your permission must be Can edit or Delegate, not just Can view all details.
  • If the calendar is part of a Microsoft 365 Group, ask the group owner to confirm you are a member of the group.
  • Sign out of Outlook and sign back in to refresh your authentication token.

Meetings on the shared calendar are not showing for everyone

  • Check that the meeting was created on the shared calendar, not on your personal calendar. Open the meeting invitation and verify the calendar name in the Calendar field.
  • If you used a Microsoft 365 Group calendar, confirm all attendees are group members. Non-members will not see group calendar events unless explicitly invited.
  • Wait a few minutes — synchronisation between Outlook desktop and Microsoft 365 can occasionally lag.

I want to share my calendar with someone outside my organisation

Outlook supports sharing free/busy information with external users, but full calendar sharing with people outside your Microsoft 365 tenant requires additional configuration by your administrator. For more information, contact your IT support team.
