Common Causes

Microsoft OneDrive provides a simple way for small businesses to protect their critical documents by syncing files to the cloud. By setting up automated folder backup, your Brisbane-based team can ensure that important files from your Desktop, Documents, and Pictures folders are available from any device.

Important: OneDrive sync is not a complete backup solution. If you delete a file from your OneDrive folder on your computer, it is also deleted from the cloud and all synced devices. For comprehensive business data protection, consider a dedicated Microsoft 365 backup solution.

Quick Fix Steps

  1. Sign in to your Microsoft 365 account.
  2. Open the OneDrive application on your computer.
  3. Move your business documents into the OneDrive folder.
  4. Enable the OneDrive backup feature for your Desktop, Documents, and Pictures folders.

Detailed Instructions

Step 1: Sign in to OneDrive

  1. Click the OneDrive cloud icon in your system tray (Windows) or menu bar (macOS).
  2. If you are not signed in, select Sign in and enter your Microsoft 365 business email address.
  3. Follow the prompts to complete the sign-in process.

Step 2: Set up Folder Backup

  1. Click the OneDrive cloud icon in the notification area.
  2. Select the Help & Settings gear icon, then click Settings.
  3. Navigate to the Backup tab.
  4. Click Manage backup.
  5. Select the folders you wish to back up, such as Desktop, Documents, and Pictures.
  6. Click Start backup.

Step 3: Verify your files are syncing

  1. Open File Explorer (Windows) or Finder (macOS).
  2. Navigate to your OneDrive - [Your Organisation Name] folder.
  3. Check the status icons next to your files:
    • A blue cloud icon means the file is online only.
    • A green checkmark means the file is available locally and in the cloud.
Tip: You can right-click any file or folder in OneDrive and select Always keep on this device to ensure critical business documents are available offline.
Warning: Deleting a file from your OneDrive folder on your computer will also delete it from the cloud and all other synced devices. If you accidentally delete a file, check the OneDrive Recycle Bin online within 30 days to restore it.
