Common Causes

Protecting your business data is essential for any small business in Brisbane. A Network Attached Storage (NAS) device provides a centralised location for your files and allows you to automate backups, ensuring your critical documents are safe from hardware failure, accidental deletion, and ransomware attacks.

Prerequisites

Before you begin, ensure you have the following:

Tip: For maximum protection, follow the 3-2-1 backup rule: keep three copies of your data, on two different media types, with one copy stored off-site.

Detailed Instructions

Step 1: Create a Backup Share on your NAS

  1. Open a web browser and enter your NAS IP address into the address bar.
  2. Log in using your administrator credentials.
  3. Navigate to Control Panel > Shared Folder.
  4. Click Create and name the folder (e.g., BusinessBackups).
  5. Set the appropriate user permissions to ensure only authorised staff can access the backup data.
  6. Click Apply to save the folder.

Step 2: Configure the Backup Task

  1. Go to Backup & Replication or Hyper Backup (depending on your NAS manufacturer).
  2. Click Backup Task > Create.
  3. Select Local backup & shared folder.
  4. Choose the source folders on your NAS you wish to protect (e.g., department shares or user home folders).
  5. Select the BusinessBackups share you created in Step 1 as the destination.
  6. Configure the backup schedule:
    • Set the frequency to Daily.
    • Choose a time outside of business hours (e.g., 11:00 PM).
  7. Enable Data Compression and Encryption to secure sensitive business information.
  8. Click Apply or Save to activate the schedule.

Step 3: Verify the Backup

  1. Run a manual backup immediately to ensure the connection is stable.
  2. Check the Log Center or Task Log for any error messages.
  3. Open the destination folder on the NAS and confirm that files have been copied successfully.
  4. Perform a test restore of a sample file to confirm backups are recoverable.

Troubleshooting

NAS Device Not Detected

  1. Ensure the NAS is powered on and connected to the same network switch or router as your computer.
  2. Check that the NAS IP address is static. If it changes, your backup tasks will fail.
  3. Verify that your firewall is not blocking port 445 (SMB).

Backup Task Fails with "Permission Denied"

  1. Return to Control Panel > Shared Folder.
  2. Edit the permissions for the BusinessBackups folder.
  3. Ensure the user account running the backup has Read/Write access.
Caution: Automated backups to a NAS protect against hardware failure, but they are not a replacement for an off-site backup. If your office suffers a fire or theft, both the primary data and the NAS could be lost. We recommend periodically copying critical data to an external drive stored off-site.
