Common Causes

Moving your home office from basic consumer tools to Microsoft 365 transforms how your Brisbane business operates. This guide walks you through migrating your local network drives, such as the Z:\ drive, to SharePoint Online. By transitioning to cloud storage, your team can collaborate on documents in real time, eliminate version conflicts, and access files from anywhere with an internet connection.

Pre-Migration Preparation

Before moving your data, ensure your environment is ready for the transition.

  1. Verify that you have an active Microsoft 365 Business Premium or Business Standard subscription.
  2. Ensure all users have their Microsoft 365 accounts created and assigned appropriate licenses.
  3. Install the OneDrive sync client on all workstations.
  4. Audit your current Z:\ drive structure. Identify redundant or outdated folders that do not need to be migrated.

Moving Network Drives (Z:\) to SharePoint

SharePoint Online serves as the central repository for your organisation's files, integrating directly with Microsoft Teams for seamless collaboration.

Step 1: Create a SharePoint Team Site

  1. Open your web browser and navigate to the SharePoint start page or the Microsoft 365 home page.
  2. Select the SharePoint app from the app launcher if required.
  3. Click Create site and choose Team site.
  4. Enter a name for your site (e.g., "Brisbane Office Files") and click Next.
  5. Add team members as owners or members and click Finish.

Step 2: Organise Your Document Libraries

  1. Navigate to your new SharePoint site and click Documents in the left-hand menu.
  2. Click New and select Folder to recreate your existing Z:\ drive folder structure.
  3. Organise folders by department or project to maintain a logical hierarchy for your staff.

Step 3: Migrate Your Data

  1. Open File Explorer and navigate to your mapped Z:\ network drive.
  2. Select the folders and files you wish to migrate.
  3. Open your SharePoint Document Library in a browser tab.
  4. Drag and drop the selected files from File Explorer directly into the SharePoint library.
  5. For very large volumes of data, use the Sync button in SharePoint to map the library to a local drive letter, then copy files using File Explorer.

Tip: Migrate data in stages. Start with active projects first to ensure your team can continue working while older archives are moved in the background.

Enabling Seamless Co-Authoring

One of the greatest advantages of SharePoint is the ability for multiple staff members to edit the same document simultaneously without creating conflicting copies.

Using Microsoft Word, Excel, and PowerPoint

  1. Open a document stored in SharePoint or OneDrive using the desktop app or Word for the web.
  2. Ensure AutoSave is toggled to On in the top-left corner of the window.
  3. Share the document with colleagues via the Share button.
  4. As colleagues open the file, you will see their cursors and changes appear in real time.

Recovering Previous Versions

If a mistake is made during co-authoring, you can restore a previous version of the file.

  1. Right-click the file in SharePoint or OneDrive.
  2. Select Version history.
  3. Click the three dots (...) next to the version you wish to restore.
  4. Select Restore to revert the document to that specific point in time.

Eliminating File Sync Conflicts

Local network drives often result in "conflict copies" when two users edit the same offline file. SharePoint eliminates this through centralised cloud storage.

Best Practices for Your Team

Caution: Do not delete your local Z:\ drive data immediately after migration. Keep a read-only backup for at least 30 days to ensure no critical files were missed during the transfer.

Post-Migration Support

Once your migration is complete, train your team on the new workflow. Encourage the use of the Share feature instead of emailing attachments, which reduces inbox clutter and ensures everyone is working on the most recent version of a file.
