Common Causes

Moving from legacy POP3 or IMAP email to Microsoft Exchange Online transforms how your organisation communicates. Unlike older protocols that store messages locally on a single device or download them without synchronising, Exchange Online keeps your email, calendars, and contacts in the cloud. This allows every device to stay in sync and enables professional features such as shared mailboxes for accounts@ and sales@ addresses, centralised email signatures, and shared calendars. It also improves deliverability, reducing the risk of your internal emails landing in client junk folders.

Why Upgrade from POP3 or IMAP?

POP3 and IMAP were designed for an era when most people checked email from one computer. They do not support true collaboration or modern security standards. Exchange Online provides:

Quick Fix Steps

  1. Purchase the appropriate Microsoft 365 Business licence for each user.
  2. Verify your domain ownership in the Microsoft 365 admin centre.
  3. Update your DNS records, including MX, SPF, DKIM, and DMARC.
  4. Create user mailboxes and shared mailboxes such as accounts@ and sales@.
  5. Migrate existing email data using the Exchange admin centre or a third-party migration tool.
  6. Configure Outlook profiles and mobile devices to connect to Exchange Online.
  7. Decommission the old POP3 or IMAP service once migration is complete.

Detailed Instructions

Step 1: Verify Your Domain in Microsoft 365

  1. Sign in to the Microsoft 365 admin centre.
  2. Navigate to Settings > Domains.
  3. Select Add domain and enter your business domain name.
  4. Follow the prompts to add a TXT or MX record to your DNS host to prove ownership.
  5. Return to the admin centre and select Verify.

If your DNS is managed by your current web hosting provider, you will need access to their control panel or ask them to add the records on your behalf.

Step 2: Update DNS Records for Email Delivery

To prevent your emails from being marked as junk, you must configure the correct DNS records.

  1. In the Microsoft 365 admin centre, go to Settings > Domains > select your domain.
  2. Review the required DNS records provided by Microsoft.
  3. Update your MX record to point to Microsoft Exchange Online.
  4. Add the SPF record to authorise Microsoft as a sender for your domain.
  5. Add the DKIM records to digitally sign outgoing email.
  6. Add a DMARC record to tell receiving servers how to handle unauthenticated mail.

Changing your MX record will interrupt email delivery until propagation completes. Plan this change outside of business hours to minimise disruption.

Step 3: Create User Mailboxes and Shared Mailboxes

  1. Go to Users > Active users in the Microsoft 365 admin centre.
  2. Select Add a user and assign a licence to each staff member.
  3. To create a shared mailbox, go to Teams & groups > Shared mailboxes.
  4. Select Add a shared mailbox and enter the address, such as [email protected].
  5. Add members who need access and assign permissions such as Send as or Send on behalf.

Shared mailboxes do not require a separate licence unless they exceed 50 GB of storage.

Step 4: Migrate Email from POP3 or IMAP

  1. In the Exchange admin centre, navigate to Migration.
  2. Select New migration and choose IMAP migration.
  3. Enter the connection details for your existing mail server.
  4. Map source mailboxes to the new Exchange Online mailboxes.
  5. Start the migration and monitor progress in the migration dashboard.
  6. Once complete, update the MX record to route all new mail to Exchange Online.

Step 5: Configure Outlook and Mobile Devices

  1. Install Microsoft Outlook from the Microsoft 365 portal or app store.
  2. Open Outlook and enter the user's full email address and password.
  3. Outlook will automatically detect Exchange Online settings using Autodiscover.
  4. On iOS, open the Outlook app or Mail app and add an Exchange account.
  5. On Android, use the Outlook app for the best calendar and contact synchronisation.

Remove old POP3 or IMAP account profiles from Outlook after confirming all folders and emails have migrated successfully.

Step 6: Set Up Shared Calendars and Signatures

  1. In Outlook, right-click the Calendar folder and select Sharing Permissions.
  2. Add colleagues and assign appropriate access levels.
  3. For centralised signatures, go to the Exchange admin centre > Mail flow > Signatures.
  4. Create a signature rule that applies to all outgoing messages from your domain.
