Common Causes

If calendar invitations are not appearing in Microsoft Outlook, the issue is usually related to delegate permissions, automated processing rules, or a stale Outlook profile. This guide walks you through the most common fixes for Microsoft 365 and Exchange users across Australian small businesses and home offices.

Quick Fix Steps

  1. Restart Outlook to force a fresh connection to the mail server.
  2. Check your Junk Email folder for meeting requests that may have been filtered.
  3. Check your Deleted Items folder, as meeting requests may have been automatically processed and moved there.
  4. Confirm you are connected to the internet and can send and receive new emails.
  5. Ask the sender to resend the calendar invitation.

Detailed Instructions

Check Delegate Permissions

If you manage another person's calendar or someone manages yours, incorrect delegate settings can prevent invitations from appearing in your Inbox.

  1. Open Outlook and select File from the top menu.
  2. Choose Account Settings, then select Delegate Access.
  3. In the Delegates window, review the list of delegates and their permission levels.
  4. Ensure that meeting requests and responses are set to be sent to My delegates only, but send a copy of meeting requests and responses to me if you want to see them yourself.
  5. Click OK and restart Outlook.
If you do not use delegates, skip this section and proceed to checking your Inbox rules.

Review Inbox Rules for Meeting Requests

Outlook rules can automatically move, delete, or process meeting requests before you see them.

  1. In Outlook, go to File > Manage Rules & Alerts.
  2. Look for any rules that mention meeting requests, calendar, or invitation.
  3. Select any suspicious rule and click Change Rule > Edit Rule Settings.
  4. Check whether the rule is set to move items to another folder or delete them permanently.
  5. Disable or delete the rule if it is incorrectly processing calendar invites.
  6. Click Apply, then OK.

Force a Profile Refresh

A corrupted or outdated Outlook profile cache can stop new calendar items from syncing.

  1. Close Outlook completely.
  2. Press

    Windows Key + R

    to open the Run dialog.
  3. Type

    outlook.exe /cleanviews

    and press

    Enter

    .
  4. Allow Outlook to restart and re-synchronise with the mail server.
  5. Check whether new calendar invitations now appear in your Inbox.
Using

/cleanviews

may reset some Outlook view settings. Your emails and calendar data stored on the server will not be affected.

Troubleshooting

Check the Calendar Folder View

Sometimes invitations arrive but are hidden by the current calendar view.

  1. In Outlook, switch to the Calendar module.
  2. Select the View tab from the ribbon.
  3. Choose Change View and select List to see all items.
  4. Look for meeting requests that may be dated in the past or future.

Verify Online Mode vs Cached Exchange Mode

Cached Exchange Mode stores a local copy of your mailbox, which can occasionally fall out of sync.

  1. Go to File > Account Settings > Account Settings.
  2. Select your email account and click Change.
  3. Under Offline Settings, note whether Use Cached Exchange Mode is ticked.
  4. If you suspect a sync issue, untick this option, click Next, and restart Outlook in Online Mode.
  5. Test whether calendar invites appear immediately.
If you switch to Online Mode, ensure you have a stable internet connection, as Outlook will no longer store a local offline copy of your mailbox.

Test with Outlook on the Web

Sign in to Outlook on the Web through your browser to determine if the issue is specific to the desktop application.

  1. Open a web browser and sign in to your Microsoft 365 or Exchange mailbox.
  2. Go to the Calendar section.
  3. Check whether the missing invitation appears there.
  4. If the invite is visible online but not in Outlook, the problem is likely with your desktop profile or add-ins.
