Common Causes

Microsoft Outlook relies on a local search index to quickly find messages across your mailbox. If Outlook is not returning old emails in search results, or if certain messages appear to be missing entirely, the issue is usually related to a corrupted or incomplete search index, Cached Exchange Mode settings, or problems with your Outlook data file. This guide walks Australian small business and home office users through the steps to restore search functionality in the Outlook desktop app.

Quick Fix Steps

  1. Restart Outlook and wait a few minutes to see if search results populate.
  2. Ensure you are connected to the internet and your email account is syncing.
  3. Check that you are searching the correct mailbox or folder, not just the current view.
  4. Use Ctrl + E to open the search box and try a specific keyword from a known email.

Detailed Instructions

1. Rebuild the Outlook Search Index

If Outlook's index is outdated or corrupted, old emails will not appear in search results. Rebuilding the index forces Outlook to re-scan your mailbox.

  1. Close Outlook completely.
  2. Press Windows Key + R on your keyboard to open the Run dialog.
  3. Type control and press Enter to open the Control Panel.
  4. Select Indexing Options. (If you do not see it, change the view to Large icons or Small icons in the top right.)
  5. Click Modify.
  6. Ensure Microsoft Outlook is checked in the list of indexed locations.
  7. Click Advanced.
  8. Under the Index Settings tab, click Rebuild.
  9. Click OK and confirm when prompted.
  10. Restart Outlook and allow time for the index to rebuild. This may take several hours depending on your mailbox size.
Search indexing runs in the background. You can continue using Outlook while it rebuilds, but search results may be incomplete until the process finishes.

2. Check Cached Exchange Mode Settings

For Microsoft 365 and Exchange accounts, Cached Exchange Mode stores a local copy of your mailbox. If the sync slider is set too narrowly, older emails may not be available locally for searching.

  1. Open Outlook and go to File > Account Settings > Account Settings.
  2. Select your email account and click Change.
  3. Ensure Use Cached Exchange Mode is checked.
  4. Move the Download email for the past slider to All or a longer period (such as 1 year or 2 years) to include older messages.
  5. Click Next, then Finish, and restart Outlook.
Setting the slider to All will download your entire mailbox locally. This may take time and use significant disk space, especially for large mailboxes.

3. Repair Outlook Data Files

If your Outlook data file (.pst or .ost) is damaged, search may fail to return results from that file. You can use the Inbox Repair tool to check and fix data file integrity.

  1. Close Outlook.
  2. Locate the Inbox Repair tool (scanpst.exe). Common locations include:
    • C:\Program Files\Microsoft Office\root\Office16
    • C:\Program Files (x86)\Microsoft Office\root\Office16
  3. Double-click scanpst.exe to run the tool.
  4. Click Browse and select your Outlook data file. Default locations are typically:
    • C:\Users\[YourName]\Documents\Outlook Files
    • C:\Users\[YourName]\AppData\Local\Microsoft\Outlook
  5. Click Start to begin the scan.
  6. If errors are found, click Repair to fix them.
  7. Restart Outlook and test search again.
For Microsoft 365 and Exchange accounts, your data file is usually an .ost file. If repair does not resolve the issue, Outlook can recreate the .ost file by re-syncing from the server.

Troubleshooting

Search Still Not Working?

If you use a POP or IMAP account, your emails are stored in a .pst file. Regularly back up this file to prevent data loss. See our guide on Backing Up and Restoring Outlook Data Files (.pst/.ost).
