Common Causes

Why This Article Exists

When moving to a new Mac using Time Machine, many users discover that files stored only in OneDrive (online‑only) disappear after the restore. This happens because the old Mac’s OneDrive client removed placeholders for cloud‑only files during the migration, causing them to be lost locally and hidden online.

Prerequisites

Step‑by‑Step Procedure

1. Prepare the New Mac

  1. Boot the new Mac and complete the initial macOS setup until you reach the “Transfer Information” screen.
  2. Select “From a Mac, Time Machine backup, or startup disk”.
  3. Connect the external drive containing the Time Machine backup.
  4. Choose the backup you want to restore and proceed. Do NOT install OneDrive yet.

2. Complete the macOS Setup (without OneDrive)

  1. Finish the macOS setup steps (Apple ID, iCloud, etc.).
  2. Log in to your user account and verify that all files have been restored.

3. Install OneDrive (macOS version)

  1. Download the latest OneDrive client from Microsoft.com.
  2. Install and launch OneDrive, then sign in with the same account used on the old Mac.
  3. During the setup, choose “Only sync the files you need” (Selective Sync). Do NOT enable “Sync all files”.

4. Preserve Online‑Only Files

OneDrive stores placeholders for files that exist only in the cloud. To keep these placeholders after the Time Machine restore:

  1. In OneDrive preferences, go to the “Account” tab and click “Choose folders”.
  2. Select the folders you want fully synced locally. Leave other folders unchecked – they will remain online‑only placeholders.
  3. Click “OK”. OneDrive will now download only the selected content, leaving the rest as cloud placeholders.

5. Verify OneDrive Files

6. Optional: Force a Full Sync of Specific Files

If you need certain files locally:

  1. Right‑click the file or folder in Finder.
  2. Select “Always keep on this device”. OneDrive will download the actual file while leaving the rest as placeholders.

Common Pitfalls & How to Avoid Them

What to Do If Files Are Gone

  1. Log into OneDrive web and check the Recycle Bin for the missing items.
  2. If the files were only placeholders, they will still be in the cloud and can be restored by re‑enabling the folder in OneDrive preferences.
  3. For permanently deleted files, contact your Microsoft 365 admin – they may be able to restore from the admin Recycle Bin.
