Stop Calendar Confusion: Moving Your Brisbane Business from Shared Desktop Calendars to Microsoft Exchange Online
Summary
This guide helps you troubleshoot and resolve: Stop Calendar Confusion: Moving Your Brisbane Business from Shared Desktop Calendars to Microsoft Exchange Online. Follow the steps below to fix the issue.
Common Causes
Many Brisbane small businesses still rely on shared desktop calendars or manual email chains to coordinate appointments. These methods are prone to double bookings, missed meetings, and version conflicts. Moving to Microsoft Exchange Online provides your organisation with professional shared calendars that sync across every device, ensuring your team always sees the same schedule in real time.
Quick Fix Steps
- Purchase Microsoft 365 Business licences for every user who needs calendar access.
- Create shared mailboxes for roles such as
sales@,accounts@, orbookings@. - Assign calendar permissions to the relevant staff members.
- Add the shared calendar to Outlook on the web, Outlook desktop, and mobile devices.
- Retire legacy desktop calendar files and stop sharing generic login credentials.
Detailed Instructions
Step 1: Assign Licences and Create Shared Mailboxes
- Sign in to the Microsoft 365 admin centre with your administrator account.
- Go to Users > Active users and assign Exchange Online licences to each staff member.
- Navigate to Teams & groups > Shared mailboxes.
- Select Add a shared mailbox.
- Enter a name and email address, such as
[email protected], then select Save changes. - Once created, select the mailbox and choose Members to add the staff who need to send or receive email from that address.
- Grant Full Access and Send As (or Send on Behalf) permissions to the staff members who need to manage the shared calendar and send meeting invitations on its behalf.
Shared mailboxes do not require their own licence as long as they stay under 50 GB and users access them through delegated permissions.
Step 2: Configure Shared Calendar Permissions
- Open Outlook desktop and sign in with an account that has Full Access to the shared mailbox.
- Select the Calendar icon at the bottom of the navigation pane.
- Right-click the shared mailbox calendar in the folder list and select Properties > Permissions.
- Select Add, choose the staff members who need access, and select OK.
- Choose the appropriate access level for each user:
- Can view when I'm busy — shows free/busy time only.
- Can view titles and locations — shows meeting subject and location.
- Can view all details — shows full meeting information.
- Can edit — allows users to create and modify events.
- Delegate — allows users to manage the calendar and respond to meeting requests on behalf of the shared mailbox.
- Select OK to apply the permissions.
Step 3: Add the Shared Calendar to Outlook Desktop (Windows)
- Open Outlook and select the Calendar icon at the bottom of the navigation pane.
- On the Home tab, select Open Calendar > From Address Book.
- Type the name of the shared mailbox and select Go.
- Double-click the shared mailbox name to add it to the list, then select OK.
- The shared calendar now appears under Shared Calendars in the left pane.
- To overlay it with your personal calendar, select the check box next to the shared calendar name.
Step 4: Add the Shared Calendar to Outlook for Mac
- Open Outlook and select Outlook > Settings > Accounts.
- Select your Microsoft 365 account and choose Delegation and Sharing.
- Under Shared with me, select + and enter the email address of the shared mailbox.
- Select Add and accept the permission prompt.
- The shared calendar appears in the sidebar under Shared Calendars.
Step 5: Access Shared Calendars on Mobile
- Download and install the Outlook app from the Apple App Store or Google Play Store.
- Sign in with your Microsoft 365 work or school account.
- Tap the Calendar icon at the bottom of the screen.
- Tap the Add calendar or + icon.
- Select Add shared calendar and enter the shared mailbox email address.
- Accept the invitation or permission prompt to view the shared calendar.
iOS and Android users can also use the native Mail and Calendar apps with Microsoft Exchange ActiveSync, but the Outlook app provides the most reliable shared calendar experience.
Step 6: Stop Using Shared Desktop Logins and Legacy Calendar Files
- Identify any computers where staff log in with a shared generic account to access a desktop calendar.
- Create individual Microsoft 365 user accounts for every staff member.
- Export any legacy .pst or .ics calendar files from the old desktop profile.
- Import the calendar data into the appropriate user or shared mailbox in Exchange Online.
- Disable or remove the shared desktop login to prevent unauthorised access.
Do not share a single Microsoft 365 password among multiple staff members. Shared mailboxes should be accessed through delegated permissions from individual licensed accounts for security and audit purposes.
Troubleshooting
Shared Calendar Does Not Appear in Outlook
- Confirm the user has been added as a member or delegate of the shared mailbox in the Microsoft 365 admin centre.
- Restart Outlook and wait several minutes for permissions to replicate.
- In Outlook on the web, verify the calendar is checked under My Calendars or Shared Calendars.
- For Outlook desktop, try removing and re-adding the shared calendar via Open Calendar > From Address Book.
Cannot Edit Events in the Shared Calendar
- Check that the user has Can edit or Delegate permissions, not just Can view access.
- Ensure the user is opening the shared calendar, not their personal calendar, when creating new events.
- Sign out of Outlook and sign back in to refresh the permission token.
Calendar Changes Are Not Syncing Across Devices
- Verify the device has an active internet connection.
- Check that the same Microsoft 365 account is signed in on all devices.
- Force a sync by pulling down on the calendar list in the Outlook mobile app.
- On desktop, select Send / Receive > Send/Receive All Folders or press
F9.
Meeting Invites from Shared Mailbox Land in Junk
- Ask recipients to add your domain to their safe senders list.
- Ensure SPF, DKIM, and DMARC records are configured for your domain to improve email authentication.
- Review the Exchange Online protection rules in the Microsoft 365 Defender portal if internal messages are consistently marked as spam.
