Common Causes

Managing external collaborators in Microsoft Teams allows your organisation to work seamlessly with clients, contractors, and vendors without compromising internal security. For small businesses in Brisbane, the challenge is balancing open collaboration with strict data governance. Without clear guest permissions, sensitive client records and proprietary information can be exposed to unauthorised users or leaked through unmanaged channels. This guide explains how to configure guest access securely and how to prevent data loss through unauthorised AI platforms.

Quick Fix Steps

  1. Sign in to the Microsoft 365 admin centre using your global administrator account.
  2. Navigate to Users > Active users to review existing external collaborators marked as Guest.
  3. Open the Microsoft Teams admin centre at https://admin.teams.microsoft.com.
  4. Go to Users > Guest access and ensure Allow guest access in Teams is toggled On.
  5. Configure guest permissions under Users > Guest access to restrict file sharing and channel creation.
  6. Invite external users via Microsoft Teams by selecting Add members and entering their email address.

Detailed Instructions

Configuring Organisation-Wide Guest Access

  1. Open the Microsoft Teams admin centre at https://admin.teams.microsoft.com.
  2. In the left-hand navigation, select Users > Guest access.
  3. Set Allow guest access in Teams to On.
  4. Under Calling, Meeting, and Messaging, toggle the features you want guests to access. We recommend disabling Screen sharing for guests if they do not need to present during meetings.
  5. Select Save to apply the changes.

Guest access changes can take up to 24 hours to propagate across all Teams clients.

Setting Team-Level Guest Permissions

  1. Open the Microsoft Teams desktop or web application.
  2. Locate the team in the sidebar, click the More options (...) icon next to the team name, and select Manage team.
  3. Open the Settings tab.
  4. Under Guest permissions, clear the checkboxes for actions you want to restrict, such as Create and update channels or Delete channels.
  5. Under Member permissions, ensure guests cannot Create, update, or delete tabs unless specifically required.
  6. Close the Manage team window to save changes automatically.

Inviting a Guest to a Team

  1. In Microsoft Teams, select the team where you want to add the collaborator.
  2. Click More options (...) next to the team name and choose Add member.
  3. Enter the guest's email address. Teams will label the user as a Guest.
  4. Click Add, then Close. The guest receives an email invitation to join the team.

Removing Guest Access When a Project Ends

  1. Open the Microsoft 365 admin centre.
  2. Go to Users > Active users.
  3. Search for the guest user's email address.
  4. Select the user and choose Delete user to remove their access to all Microsoft 365 resources.
  5. Alternatively, remove them from specific teams via Manage team > Members > Remove member.

Preventing Data Leaks to Consumer AI Platforms

Shadow AI occurs when employees paste proprietary code, customer records, or financial data into public, consumer-grade AI tools. These platforms may use input data to train public models, creating significant compliance and confidentiality risks for your organisation.

To mitigate this risk, provide staff with a secure, enterprise-grade AI environment. Microsoft Copilot with commercial data protection ensures that company data is not used to train public foundation models and remains within your organisation's tenant boundary.

Enabling Commercial Data Protection in Microsoft Copilot

  1. Ensure users are assigned a licence that includes Microsoft Copilot for Microsoft 365 or Microsoft 365 E3/E5 with the Copilot add-on.
  2. Instruct staff to sign in to Copilot at https://copilot.microsoft.com using their work email address.
  3. Verify that the Enterprise data protection badge or shield icon is visible in the chat interface before entering any sensitive information.
  4. Advise employees never to paste client records, financial statements, or source code into personal AI accounts or unmanaged browser extensions.

If the enterprise protection indicator is missing, assume the session is not protected and do not enter confidential business data.
