Common Causes

Stop wasting time emailing documents to yourself or copying files to USB drives. By syncing your Desktop and Documents folders to OneDrive, your files are automatically backed up to the cloud and available on any device where you are signed into your Microsoft account. This setup is ideal for small business owners and home office users who want seamless access to their work without managing manual backups.

Quick Fix Steps

For general guidance, open OneDrive settings from the system tray, navigate to the Backup tab, select Manage backup, enable syncing for Desktop and Documents, and confirm to start the sync process.

Accessing Your Synced Files

Once the backup is complete, your Desktop and Documents files are stored in your OneDrive folder. You can access these files from File Explorer on your PC, the OneDrive mobile app for iOS and Android, or OneDrive.com in any web browser.

Troubleshooting

OneDrive is Paused

If files are not syncing, OneDrive may be paused. Click the OneDrive cloud icon in the system tray, then click Resume syncing.

File Sync Conflicts

If you edit the same file on two different devices without syncing, OneDrive may create a separate copy with the computer name appended to the filename. To avoid this, ensure files are fully synced before switching devices.

Not Enough OneDrive Storage

If you receive a storage warning, check your Microsoft 365 subscription. You may need to purchase additional storage or move older files to an archive location.

Caution: Deleting a file from your synced Desktop or Documents folder will delete it from OneDrive and all other synced devices. Deleted files can usually be recovered from the OneDrive Recycle Bin within 30 days.
