Common Causes

Microsoft Teams notifications let you know when a message arrives, someone @mentions you, or a meeting is about to start. When those notifications stop appearing or fail to play a sound, you can miss time-sensitive chats and calendar invites. The cause is usually a setting inside Teams, an operating system permission, or a focus mode that is silently blocking alerts. This guide walks you through checking each layer so you can restore reliable desktop notifications on both Windows and macOS.

Quick Fix Steps

Try these in order. Most customers find their notifications return after the first two or three steps.

  1. Confirm Teams is not muted, and that the chat or channel is not muted.
  2. Check that notifications are turned on in the Teams desktop app.
  3. Allow Teams notifications in your operating system settings.
  4. Turn off Focus Assist (Windows) or Do Not Disturb (macOS).
  5. Quit and reopen Teams, then restart your computer if needed.

Detailed Instructions

1. Check In-App Notification Settings

  1. Open the Teams desktop app and click the three dots (More) menu next to your profile picture.
  2. Select Settings.
  3. Go to Notifications and activity.
  4. Under Notifications, make sure notifications are set to On.
  5. Review each category (Chat, Channels, Meetings, Mentions) and ensure the style is set to Banner and feed or Banner rather than Off.
  6. Scroll down to Sounds and confirm Play sound for notifications is enabled.

2. Unmute Specific Chats and Channels

Teams lets you mute individual conversations. A muted chat will not produce notifications even when global notifications are on.

  1. In the chat list, find the conversation or channel you expect notifications from.
  2. Right-click it and choose Manage notifications.
  3. Select All activity or @mentions only depending on your preference, rather than Off.

3. Allow Notifications in Windows

  1. Open Settings from the Start menu.
  2. Go to System then Notifications.
  3. Make sure notifications are turned on at the top of the page.
  4. Scroll to Microsoft Teams in the app list and confirm notifications are enabled, including Show notification banners and Play a sound when notifications arrive.
  5. Click Microsoft Teams to expand options and verify the notification priority is set to Normal or higher.
If you do not see Microsoft Teams in the list, the app may be installed as a progressive web app or the package may not be registered. Reinstall Teams from https://www.microsoft.com/en-au/microsoft-teams/download-app and try again.

4. Turn Off Focus Assist on Windows

Focus Assist (formerly Quiet Hours) suppresses notifications when you are gaming, presenting, or working.

  1. Click the date and time on the taskbar, then click the Focus Assist icon (a crescent moon).
  2. Select Off. If it is already off, try toggling it on and back off to reset.
  3. For full control, open Settings then System then Focus and review your automatic rules. Make sure Teams is not on the priority-only list while you still want banners.

5. Allow Notifications in macOS

  1. Open System Settings (or System Preferences on older macOS).
  2. Go to Notifications.
  3. Scroll the app list and click Microsoft Teams.
  4. Enable Allow notifications, Show notifications on lock screen, and Play sound for notifications.
  5. Set the alert style to Banners rather than None.
  6. If you do not see Teams in the list, open Teams once so macOS registers it, then return to this menu.

6. Turn Off Do Not Disturb and Focus Modes on macOS

  1. Open Control Centre from the menu bar.
  2. Click Focus and ensure no focus mode is active. If Do Not Disturb is highlighted, click it to disable.
  3. Open System Settings then Focus to review each mode (Work, Personal, Sleep). Under Allowed notifications, make sure Teams is permitted, or simply turn the mode off.

7. Restart Teams and Your Computer

  1. Quit Teams fully. On Windows, right-click the Teams icon in the system tray and select Quit. On macOS, use Cmd + Q.
  2. Wait ten seconds, then reopen Teams and sign in.
  3. If notifications are still missing, restart your computer to clear any stuck notification services.

Troubleshooting

Notifications Work in the Web App but Not the Desktop App

This usually means the desktop app lacks the required operating system permission. Revisit the Windows or macOS notification settings above and confirm Teams is listed and enabled. If the entry is missing, uninstall Teams, restart, and reinstall using the standard installer rather than the Microsoft Store, which can sometimes fail to register notification entitlements.

Banners Appear but No Sound Plays

Notifications Only Missing During Meetings or Screen Sharing

Teams automatically suppresses some banners while you are presenting or in a meeting to avoid sharing private content. To override this:

  1. Go to Settings then Notifications and activity.
  2. Under Meetings, look for an option to show notification banners during meetings and calls, and enable it if available in your version of Teams.

Notifications Stopped After a Teams Update

Updates occasionally reset permissions. Re-check the Windows or macOS notification list, then sign out of Teams and sign back in. If the problem persists, clear the Teams desktop client cache:

  1. Quit Teams completely.
  2. On Windows, open %appdata%\Microsoft\Teams and rename the Cache folder to Cache_old.
  3. On macOS, open ~/Library/Application Support/Microsoft/Teams and rename the Cache folder to Cache_old.
  4. Reopen Teams and sign in. A fresh cache will be created.
Renaming or deleting folders inside the Teams application directory can affect your chat history if not done correctly. Only rename the Cache folder as described, and do not remove other folders unless instructed by Microsoft support.

Email Notifications Also Missing

If you are not receiving Teams activity emails either, your Microsoft 365 mailbox may be affected. Review our guide on Email not sending or receiving for steps to verify your mailbox is delivering messages correctly.

Notifications Still Missing After All Steps

If you have completed every step above and notifications are still not appearing, the issue may be related to your Microsoft 365 tenant configuration or a corrupted local profile. Try the following:

  1. Sign in to Teams using a web browser to confirm whether notifications work there. This helps determine if the issue is with the desktop app or your account.
  2. Ask a colleague to send you a test message and confirm whether they see a delivery tick.
  3. Check the Microsoft 365 Service Health dashboard for any active incidents affecting Teams notifications.
  4. If the issue persists, contact your IT administrator or support provider with the results of the steps above.
