Common Causes

Microsoft Teams meeting recordings are normally saved automatically to the recording initiator's OneDrive (for personal channel meetings) or to the channel's SharePoint folder (for standard channel meetings). When a recording doesn't appear, it's usually caused by a sync delay, an upload failure, or a permission issue with the connected SharePoint site or OneDrive account. The steps below will walk you through resolving the most common causes.

Quick Fix Steps

Try these steps first, as they resolve the majority of recording issues:

  1. Wait at least 15 to 30 minutes after the meeting ends. Recordings are uploaded in the background and can take time to appear, especially for longer meetings.
  2. Ask the meeting organiser to check their OneDrive – Microsoft Teams Meeting Recordings folder in OneDrive for the recording.
  3. For channel meetings, ask a channel owner to check the channel's Files tab in Teams, then open the Recordings folder in SharePoint.
  4. Refresh OneDrive or SharePoint by clicking the OneDrive or SharePoint sync status icon in the system tray (Windows) or menu bar (Mac) and selecting Resume syncing.
  5. Sign out of Teams, restart your computer, then sign back in and check again.

Where Recordings Are Stored

Knowing the correct location to check is half the battle. Recordings are saved based on the meeting type:

Only the meeting organiser receives the recording email and has direct access to the file in their OneDrive. Other participants must be granted access or find it in the channel's SharePoint folder.

Detailed Troubleshooting

Check the Recording Status in Teams

  1. Open Microsoft Teams and go to the meeting chat.
  2. Look for the Recording message at the top of the chat.
  3. If the message says Recording is being processed, the upload is still in progress. Wait and refresh later.
  4. If the message says Recording failed to upload, proceed to the next section.
  5. If the recording is available, click the three dots on the recording message and select Open in OneDrive or Open in SharePoint to go directly to the file.

Verify Recording Permissions Are Enabled

If you cannot start a recording at all, your admin may have disabled it. Confirm your account has permission:

  1. Open Teams and click the three dots next to your profile picture.
  2. Select Settings then Calls and meetings.
  3. Look for the Record and transcribe meetings section. If the option is greyed out or unavailable, your organisation's policy has restricted recording.

IT administrators can verify the policy in the Microsoft Teams admin centre under Meetings > Meeting policies > Recording & transcription.

Check OneDrive Storage Space

Recordings will fail to upload if the organiser's OneDrive is full.

  1. Go to onedrive.com and sign in.
  2. Click the gear icon in the top right and select Options.
  3. Click Storage in the left-hand menu to see how much space is used.
  4. If storage is full, either delete unused files or contact your Microsoft 365 administrator to increase the licence quota.

Confirm the SharePoint Site Is Active

For channel meetings, the connected SharePoint site must be active and accessible:

  1. In Teams, navigate to the affected channel.
  2. Click the Files tab at the top of the channel.
  3. If you see a message saying the SharePoint site is unavailable or archived, the recording cannot be saved there.
  4. Contact your SharePoint administrator to restore or reactivate the site.
If a SharePoint site has been archived or deleted, all recordings stored there may be unrecoverable. Speak to your administrator promptly if you suspect this has occurred.

Check for Sync Issues on Your Computer

Sometimes the recording is uploaded to the cloud successfully but hasn't synced down to your local OneDrive folder:

  1. Click the OneDrive icon in the system tray (Windows) or menu bar (Mac).
  2. Look for any error messages such as Sync paused or Signed out.
  3. Click Resume syncing or Sign in as required.
  4. Open the Microsoft Teams Meeting Recordings folder in OneDrive and refresh the view.

Try Downloading the Recording Directly

If the recording appears in the meeting chat but not in OneDrive or SharePoint, you can download it as a temporary workaround:

  1. Open the meeting chat in Teams.
  2. Hover over the recording message and click the three dots.
  3. Select Download to save the file locally.
  4. Once downloaded, upload it manually to the correct SharePoint or OneDrive location.

Common Error Messages

Here are some specific errors you might encounter and what they mean:

For Administrators

If you manage a Microsoft 365 environment and recordings are failing across your organisation, check the following:

  1. In the Microsoft 365 admin centre, confirm all users have an active licence that includes Teams recording (commonly Microsoft 365 Business Basic or higher).
  2. In the SharePoint admin centre, verify that the affected SharePoint sites are not locked, archived, or over their storage quota.
  3. Review the Teams meeting recording policy under Meetings > Meeting policies and ensure Allow transcription and recording is set to On.
  4. Check the Microsoft 365 Service Health Dashboard for any active incidents affecting Teams recording or SharePoint uploads.
Recordings are stored in the same region as your Microsoft 365 tenant. If your organisation recently migrated tenants or changed regions, older recordings may appear in the original location rather than the new one.

If you have completed all the steps above and your Teams recording is still missing, please contact our support team. Include the meeting date, time, organiser's email address, and any error messages you have received so we can investigate promptly.
