Common Causes

Microsoft Teams pulls meeting details from your Outlook calendar, so when the date or time displays incorrectly, the issue is almost always linked to a timezone mismatch, a corrupted meeting cache, or a sync problem between Outlook and Teams. This guide walks you through the most common causes and the steps to resolve them, whether you are using the Teams desktop app, the web version, or the Outlook desktop client.

Quick Fix Steps

If you are in a hurry, work through these steps first. They resolve the majority of Teams calendar date and time issues.

  1. Confirm your timezone is set correctly in both Teams and Outlook.
  2. Sign out of Teams completely, then sign back in to refresh your calendar cache.
  3. Clear the Teams desktop app cache from your local AppData folder.
  4. Check that your Outlook calendar is set to the correct timezone and is not displaying a secondary timezone that may be confusing the view.
  5. Re-create the meeting from inside Teams rather than Outlook to rule out a corrupted invite.

Detailed Instructions

Step 1: Verify your timezone settings in Teams

An incorrect timezone is the single most common cause of meeting times displaying incorrectly. Teams uses the timezone configured in your Microsoft 365 profile.

  1. Open the Teams desktop app or sign in at https://teams.microsoft.com.
  2. Click your profile picture in the top right corner.
  3. Select Settings and more (the three dots), then choose Settings.
  4. Click General from the left menu.
  5. Scroll down to the Language and region section.
  6. Confirm the Time zone dropdown is set to (UTC+10:00) Canberra, Melbourne, Sydney or your correct Australian timezone.
  7. Close the settings window. Teams will refresh automatically.
If you travel between states or work with international colleagues, you can still set a fixed timezone here. Teams will not auto-detect your location.

Step 2: Verify your timezone in Outlook

Teams relies on Outlook for meeting storage, so both applications must agree on the timezone.

  1. Open Outlook and click File in the top left.
  2. Select Options, then click Calendar from the left panel.
  3. Scroll down to the Time zones section.
  4. Confirm the Time zone dropdown matches the setting in Teams.
  5. Untick Show a second time zone in the Day/Week/Month view unless you specifically need it. A second timezone can make it appear that meetings are scheduled at the wrong time.
  6. Click OK to save.

Step 3: Sign out and back into Teams

A stale sign-in session can cause Teams to display outdated calendar data.

  1. Click your profile picture in the top right of Teams.
  2. Select Sign out.
  3. Close the Teams app completely, including from the system tray on Windows or the menu bar on Mac.
  4. Wait 30 seconds, then reopen Teams and sign back in with your Microsoft 365 credentials.
  5. Open the Teams Calendar tab and confirm the meeting details are now correct.

Step 4: Clear the Teams desktop app cache

If the issue persists, the local cache may be holding onto old meeting data. Clearing it forces Teams to resync with the server.

On Windows

  1. Fully close Teams and ensure it is not running in the system tray.
  2. Press Windows + R to open the Run dialog.
  3. Type %appdata%\Microsoft\Teams and press Enter.
  4. Select all folders inside this directory and delete them. Do not delete the parent folder itself.
  5. Restart Teams and sign in again.

On macOS

  1. Fully quit Teams.
  2. Open Finder and click Go in the menu bar.
  3. Select Go to Folder and enter ~/Library/Application Support/Microsoft/Teams.
  4. Delete the contents of the folder, then restart Teams.
Clearing the cache will sign you out of Teams and remove locally stored files. Your meetings and chats remain safe on the server and will reappear once you sign back in.

Step 5: Check for recurring meeting issues

If only recurring meetings are showing the wrong date or time, the original meeting series may have been created with an incorrect timezone or pattern.

  1. Open the meeting in your Outlook calendar.
  2. Double-click the meeting to open it.
  3. Click Recurrence at the top of the ribbon.
  4. Confirm the Start time, End time, and Duration are correct.
  5. Check the Recurrence pattern to ensure the correct days, weeks, or months are selected.
  6. Click OK, then Send Update to push the corrected details to all attendees.

Step 6: Re-create the meeting from inside Teams

For one-off meetings that continue to display incorrectly, creating a fresh meeting often bypasses any underlying corruption.

  1. Open the Calendar tab in Teams.
  2. Click New Meeting in the top right.
  3. Add the required details, including the correct date, time, and attendees.
  4. Click Send.
  5. Cancel and delete the original meeting from your calendar.

Troubleshooting

Meeting times are correct in Outlook but wrong in Teams

This usually indicates a sync delay between Outlook and Teams. Try the following:

Meeting times are wrong for all attendees

If every attendee sees the wrong time, the meeting was likely created with an incorrect timezone by the organiser. The organiser should:

  1. Open the meeting in Outlook.
  2. Double-click the meeting to open it.
  3. Confirm the timezone listed in the meeting window matches the intended meeting time.
  4. Update the meeting and send a fresh invite to all attendees.

Meeting times shift after Daylight Saving changes

Australia observes Daylight Saving in some states but not others. If your timezone is set to a region that observes DST and your colleagues are in a region that does not, meetings may appear to shift by one hour during the DST period.

If you regularly schedule meetings across multiple timezones, consider adding a second timezone in Outlook so you can see both times side by side. This avoids confusion when converting between AEDT, AEST, ACST, AWST, and international zones.

Teams on mobile shows different times to the desktop app

The Teams mobile app uses the timezone set on your device, not the timezone in your Microsoft 365 profile. To fix this:

  1. Open your device Settings.
  2. On iPhone, go to General > Date & Time. On Android, go to System > Date & time.
  3. Turn off Automatic timezone if it is detecting the wrong region.
  4. Manually select the correct timezone for your location.
  5. Reopen the Teams mobile app and confirm the meeting times now match your desktop calendar.
If your device timezone is correct but Teams mobile still shows the wrong time, sign out of the Teams mobile app and sign back in to refresh the calendar data.
