Common Causes

When Microsoft Teams displays the wrong time zone on meeting invites, it usually means your account's regional settings, your Teams app settings, or your operating system clock are out of sync. Because Teams pulls time zone data from multiple places, a mismatch in any one of them can cause your invites to show the wrong local time. The good news is that this is straightforward to fix once you know where to look.

Quick Fix Steps

If you need to resolve this quickly before a scheduled meeting, work through these steps in order:

  1. Open Microsoft Teams and click the three dots (More) next to your profile picture, then select Settings.
  2. Go to General and confirm the Time zone dropdown is set to (UTC+10:00) Canberra, Melbourne, Sydney, (UTC+08:00) Perth, or (UTC+09:30) Adelaide depending on your location.
  3. Sign out of Teams completely, then sign back in to refresh your calendar data.
  4. Open Outlook (desktop or web) and check that the time zone under File > Options > Calendar matches your Teams setting.
  5. If the issue persists, restart your device and check your operating system time zone is correct.

Detailed Instructions

Step 1: Check your Microsoft 365 account time zone

Teams uses the time zone stored in your Microsoft 365 account. If this is incorrect, every meeting you schedule will use the wrong time.

  1. Sign in to Outlook on the web.
  2. Click the Settings (gear icon) in the top right, then select View all Outlook settings.
  3. Go to Calendar > View.
  4. Under Time zone, choose the correct Australian time zone from the dropdown list.
  5. Click Save.

Step 2: Verify the Teams desktop app time zone

  1. Open Microsoft Teams.
  2. Click the three dots (More) menu next to your profile picture.
  3. Select Settings > General.
  4. Scroll to the Time zone section and confirm it matches the setting from Step 1.
  5. Close and reopen Teams to apply the change.
If your organisation has team members in different Australian time zones (for example, Perth and Sydney), keep your own time zone set correctly. Outlook will automatically display meeting times in each attendee's local time when they view the invite.

Step 3: Check your Windows time zone

  1. Right-click the clock on the Windows taskbar.
  2. Select Adjust date and time.
  3. Toggle Set time zone automatically on, or manually choose your correct Australian time zone from the dropdown.
  4. Confirm Set the time automatically is also enabled so your system clock stays accurate.

Step 4: Check your macOS time zone

  1. Open System Settings (or System Preferences on older macOS versions).
  2. Go to General > Date & Time.
  3. Toggle Set time zone automatically using your current location on, or click Time Zone and select your city from the map.

Step 5: Clear the Teams desktop cache

If the time zone still appears wrong after checking the above settings, a cached value may be stored locally. Clearing the cache forces Teams to re-read your account settings.

  1. Quit Microsoft Teams completely. On Windows, right-click the Teams icon in the system tray and select Quit. On macOS, use Cmd + Q.
  2. Open File Explorer (Windows) or Finder (macOS) and navigate to the Teams cache folder:
    • Windows: %appdata%\Microsoft\Teams
    • macOS: ~/Library/Application Support/Microsoft/Teams
  3. Delete the contents of the Cache, blob_storage, databases, GPUCache, IndexedDB, and Local Storage folders.
  4. Restart Teams and sign back in.
Closing Teams from the main window does not always quit the application on Windows. Make sure you right-click the Teams icon in the system tray (near the clock) and choose Quit, otherwise the cache files may still be locked.

Troubleshooting

The time zone setting is greyed out in Teams

If you cannot change the time zone inside the Teams app, your organisation's administrator may have locked the setting through a Microsoft 365 policy. In this case, the time zone is controlled at the account level and you will need to update it via Outlook on the web (see Step 1).

Meeting invites show the right time for me but the wrong time for others

This is almost always caused by the recipient's own time zone settings, not yours. Share this article with the affected attendee and ask them to check their Microsoft 365 account time zone in Outlook on the web.

Daylight saving time changes are not reflected

Australia observes daylight saving time in New South Wales, Victoria, the ACT, Tasmania, and South Australia. If your invites stop adjusting after the October or April clock change, confirm your time zone is set to a named Australian city (such as Sydney) rather than a fixed UTC offset. Named zones update automatically; UTC offsets do not.

Mobile Teams app shows a different time to the desktop app

Check the time zone on your mobile device:
