Common Causes

If you receive a meeting invitation in Microsoft Outlook but it looks like a regular email without the Accept, Tentative, or Decline buttons, the calendar request has likely been converted to plain text. This guide explains how to restore those invites to their interactive format.

Quick Fix Steps

  1. Close Microsoft Outlook completely.
  2. Reopen Outlook and check if new calendar invites now display correctly.
  3. Ask the sender to resend the invitation from their Outlook calendar.

Check Outlook Message Format Settings

Outlook must be set to send and receive messages in HTML format for calendar invitations to remain interactive.

  1. Open Microsoft Outlook.
  2. Select File from the top menu.
  3. Choose Options.
  4. Click Mail in the left-hand pane.
  5. Under Compose messages, locate Compose messages in this format.
  6. Ensure the dropdown is set to HTML.
  7. Click OK to save your changes.

If you are using Outlook on the web, calendar invites should appear automatically. Ensure you are viewing your inbox in a supported browser such as Microsoft Edge, Google Chrome, or Safari.

Inspect the Affected Email

Sometimes a single message is converted to plain text during delivery.

  1. Open the email that is missing the response buttons.
  2. Look at the top of the message window for an InfoBar stating the message has been converted to plain text.
  3. If present, select the option to display the message in HTML format, if available.
  4. Ask the organiser to send a new invitation directly from their calendar rather than forwarding an existing one.

Using Outlook on a Mac

  1. Open Outlook for Mac.
  2. From the menu bar, select Outlook, then Preferences.
  3. Click Composing.
  4. Ensure Compose messages in HTML format by default is selected.
  5. Close Preferences and restart Outlook.

If calendar invitations still arrive as plain text after following these steps, the issue may be with the sender's email configuration or a mail transport rule between organisations. You can Open a Ticket for further assistance.
