Microsoft Outlook Rules allow you to automate your inbox by instructing the application to perform specific actions—such as moving messages to a folder or flagging them for follow-up—whenever an email meets certain criteria. This ensures your most important communications remain visible while newsletters and notifications are organised automatically.
Creating a New Rule
There are two primary ways to create a rule: using a representative email as a template or building a rule from scratch using the Rules Wizard.
Method 1: Creating a rule from an existing email
This is the fastest way to organise your inbox when you have a specific sender or subject line you want to target.
- Right-click on an email in your inbox that you wish to use as the basis for the rule.
- Hover over Rules in the context menu.
- Select Create Rule... from the sub-menu.
- In the dialogue box, select the conditions for the rule (e.g., From [Sender] or Subject contains).
- Under the "Do the following" section, tick the box for Move the item to folder:.
- Click Select Folder... and choose the destination folder, or click New... to create a dedicated folder for these emails.
- Click OK.
- A confirmation box will appear; tick Run this rule now on messages already in the current folder to organise your existing mail immediately.
Method 2: Using the Rules Wizard for complex logic
If you need to set up multiple conditions (e.g., emails from a specific person AND containing a specific keyword), use the Wizard.
- Navigate to the Home tab on the top ribbon.
- Click on Rules and select Manage Rules & Alerts.
- Click New Rule....
- Select a template from the "Step 1: Select a template" list (e.g., Move messages from someone to a folder).
- In the bottom pane, click the underlined links in Step 2: Edit the rule description to specify the sender or the folder.
- Click Next to add any exceptions (e.g., do not move the email if it is marked as High Importance).
- Click Finish.
Managing and Modifying Existing Rules
As your business organisation evolves, you may need to update or disable your automation.
- To disable a rule: Go to Rules > Manage Rules & Alerts and uncheck the box next to the rule name.

Rules are not running automatically
If your rules are not triggering, check the following:
- Client-side vs Server-side: Some rules are "Client-only," meaning they only run when your Outlook application is open on your PC. If you use a mobile device or web browser, these rules will not trigger until you launch the desktop app.
- Rule Order: Rules are processed from top to bottom. If a rule at the top of the list moves an email, a subsequent rule may not see that email. Use the Up and Down arrows in the Manage Rules & Alerts window to reorder them.
- Stop Processing More Rules: If you have the stop processing more rules action enabled on a rule, Outlook will ignore all subsequent rules for that specific email.
