Common Causes

Prerequisites

Method 1: AutoArchive (Automatic)

1. Configure AutoArchive Settings

2. Set Archiving Rules

In the AutoArchive dialog:

3. Configure Archive Policy per Folder (Optional)

You can override the global AutoArchive settings for specific folders.

Changes to the Inbox folder propagate to subfolders unless their properties are manually set.

AutoArchive works only with PST files. It is not applicable to Exchange or Office 365 mailboxes, which use server‑side archiving instead.

Method 2: Manual Archive (Export to PST)

1. Export to a .PST file

Use this if you want to manually archive a specific date range or folder immediately.

2. Finalising the Archive (Backup Strategy)

If you created the archive as part of a backup strategy, follow these steps:

For detailed backup and restore procedures, see Backing Up and Restoring Outlook Data Files (.pst/.ost).

PST files have a default size limit of 50 GB. Exceeding this limit increases the risk of corruption. Consider creating multiple archives or using a larger‑capacity PST if necessary.

Method 3: Online Archive (Exchange / Office 365)

If your organisation has “Online Archive” enabled, you do not need to create local PST files.

In newer versions of Outlook (Office 365/Outlook 2019) you can also use the Archive button on the ribbon to perform server‑side archiving for Exchange mailboxes.

How to View Archived Emails

Viewing does not always require the archive file to be open in Outlook.
