Printer Won't Connect to Wi-Fi: How to Fix
If your network printer won't connect to your Wi-Fi network, print jobs will fail and the device will appear offline on your computers. This guide walks you through the most common causes of wireless printer connection issues and how to resolve them so your small business or home office can get back to printing quickly.
Quick Fix Steps
- Restart your printer, Wi-Fi router, and the computer you are printing from.
- Confirm the printer is powered on and not displaying any error messages on its control panel.
- Check that the printer is connected to the same Wi-Fi network as your computer.
- Run a network connectivity test from the printer's settings menu.
Detailed Instructions
1. Verify the printer is connected to the correct network
- On the printer's control panel, navigate to Network Settings or Wireless LAN Setup.
- Select View Network Status or Print Network Configuration Page.
- Compare the SSID (network name) listed on the printout with the Wi-Fi network your computer is connected to.
- If the names do not match, select Setup or Wi-Fi Setup Wizard on the printer and choose your correct network.
- Enter your Wi-Fi password when prompted and confirm the connection.
2. Check the printer's IP address
- Print a network configuration page from the printer's control panel menu.
- Locate the IPv4 Address. It should look similar to
192.168.1.50or10.0.0.15. - If the address starts with
169.254, the printer has not received a valid IP address from your router. - Power cycle the printer and router, then print the configuration page again to see if a valid address is assigned.
3. Set the printer as the default device
- On Windows, select Start > Settings > Bluetooth & devices > Printers & scanners.
- Find your printer in the list and select it.
- Select Set as default.
- On macOS, select the Apple menu > System Settings > Printers & Scanners.
- Select your printer from the list and choose Set as default printer from the dropdown menu.
4. Reinstall the printer driver
- On Windows, go to Settings > Bluetooth & devices > Printers & scanners.
- Select your printer and choose Remove.
- Visit the printer manufacturer's website and download the latest driver for your specific model.
- Run the installer and follow the prompts to add the printer as a wireless device.
- On macOS, go to System Settings > Printers & Scanners, select the printer, and click the remove button (-).
- Click the add button (+), select your printer from the network list, and click Add.
5. Check router and firewall settings
- Ensure your router's AP Isolation or Client Isolation feature is disabled, as this can prevent wireless devices from communicating with each other.
- Confirm that your computer's firewall is not blocking communication to the printer's IP address.
- If you recently changed your Wi-Fi password, you will need to reconnect the printer using the new credentials.
Troubleshooting
Printer still shows as offline
If the printer is connected to Wi-Fi but still appears offline, refer to our guide on Printer not printing / offline for steps to clear the print spool and reset the printer port.
Cannot find the printer on the network
Temporarily connect the printer to your router using an Ethernet cable. If printing works over a wired connection, the issue is likely with your Wi-Fi signal strength or router wireless settings. Move the printer closer to the router or check for interference from other devices.
