  1. Creating a New Contact

    • Click the People icon in the bottom left navigation pane (or go to Home > New Items > Contact).
    • Fill in the fields:
      • First Name, Last Name (required for sorting).
      • Job Title, Company Name.
      • Email Addresses (Business, Personal).
      • Phone Numbers (Business, Mobile, Home).
      • Physical Addresses (Business, Home).
      • Notes (e.g., “Met at conference”, “Assistant is Sarah”).
      • Categories: colour‑code for easy sorting.
    • Click Save & Close.
  2. Linking a Contact to a Company

    • When creating or editing a contact, fill in the Company Name field.
    • Search for that company name in the People view; Outlook will display all individuals with the same Company Name.
  3. Converting an Email to a Contact

    • Drag and drop an email from the message list onto the People icon in the navigation pane. Outlook creates a contact card with the sender’s name and email address pre‑filled.
    • Alternatively, right‑click the sender’s name in an email and choose Add to Outlook Contacts.

  4. Importing Contacts (Mass Import via CSV)

    • In the People view, select the File tab, then choose Open & Export > Import/Export.
    • Pick Import from another program or file and click Next.
    • Select Comma Separated Values (Windows) and click Next.
    • Browse to your .csv file and click Next.
    • Choose how to handle duplicates (usually “Replace duplicates with items imported”).
    • Ensure the destination folder is Contacts.
    • Map the fields if necessary. Outlook automatically matches standard headers such as “First Name”, “Last Name”, and “E‑mail Address”. Custom fields require manual mapping.
    • Complete the wizard to finish the import.

  5. Exporting Contacts

    • In the People view, select the File tab, then choose Open & Export > Import/Export.
    • Pick Export to a file and click Next.
    • Select Comma Separated Values (Windows) and click Next.
    • Choose the Contacts folder as the source and click Next.
    • Specify a filename and location (e.g., MyContacts_Backup.csv) and click Finish.
    Note: The exported CSV can be used with other email clients or as a backup for disaster recovery.
  6. Using the Address Book

    • Compose a new email.
    • Click the To… or Cc… button in the message ribbon.
    • The Address Book dialog opens.
    • Use the Search box to type a name.
    • Switch between the “Global Address List” (company directory) and “Contacts” (personal address book) using the dropdown.
    • Double‑click a name to add it to the recipient list.
    Warning: The “Send/Receive > Download Address Book” option only works when Outlook is in cached Exchange mode. If you do not see updated entries, restart Outlook or use Outlook on the web to refresh the GAL.
  7. Creating a Contact Group (Distribution List)

    • In the People view, go to the Home tab.
    • Click New Contact Group.
    • Enter a name for the group (e.g., “Sales Team”).
    • Click Add Members > From Outlook Contacts (or From Global Address List).
    • Select the desired individuals and click Members > OK.
    • Click Save & Close.
    • To use the group, type its name in the To field of a new email.
  8. Sharing Contacts

    • Share a single contact: Open the contact, then choose Share > Forward Contact (as an Outlook item or as a vCard).
    • Share an entire contacts folder: Right‑click your Contacts folder in the left pane, choose Share > Contacts, and send the sharing invitation.
    Privacy note: Only share contacts with authorised personnel. For external recipients, consider sending a vCard file instead of granting folder access.
    Warning: Regular users can only import contacts into their personal Contacts folder. Importing into the corporate Global Address List requires administrator rights.
